* The position of Head of Business Support will be instrumental in supporting the development of internal systems and processes
* Based in Dun Laoghaire, Co. Dublin, you will work with senior colleagues to refine systems, streamline processes, deliver and enhance operational excellence
Person Description
* Strong business administration, organisation, process design (including review and re-design of process flows for efficiency) and general commercial acumen – with an eye for detail and good working knowledge of HR
* Proven experience in planning, administration, quality management, optimising efficiencies and delivering continuous process improvement
* Instinctive and energetic (leading by example, based on learned experience) while also being a credible communicator – motivating others and applying strong emotional intelligence
* Analytical (KPI/data driven) and results focused – empowering, inspiring and motivating team members to deliver operational and service delivery excellence
Position Description
Continuous Improvement of Business Support Functions
* Responsibility for the proactive identification and successful implementation of continuous improvement initiatives across key business support functions including:
* Office and HR Administration
* Customer Service
* Ticketing
* Residents' Liaison
* Review and proactively identify recommendations for operational, systems and process change – to streamline delivery and enhance current business practices
* Optimise responsiveness to ensure that all customer/stakeholder requirements are anticipated and addressed appropriately
* Review and identify scope to enhance general office administration, the management of (the above) support functions and related compliance processes – delivering continuous process and operational improvement
HR Administration
* Act as a first point of contact on HR/personnel issues, general staff queries, employee relations and communications
* Identify, recommend and promote initiatives to support the development of the workplace culture and to enhance the working environment
* Ensure effective office and HR administration to include adherence with policies and procedures, leave and absence management and record keeping/reporting
Internal Reporting, Metrics & KPIs
* Collate and centralise weekly/monthly management information reports and metrics from across the business, while ensuring colleagues' timely submission and synopsising data/KPIs where relevant
* Manage and maintain reports/records/documentation/KPIs and review/update existing information collation arrangements to streamline reporting and meet deadlines
* Identify efficiency targets/KPIs and develop metrics to deliver continuous improvement across own areas of responsibility
* Proactively identify and recommend IT/related solutions to deliver greater efficiencies in management information reporting and across the business more generally
Health & Safety / Insurance
* Oversee office safety, health and welfare – ensuring that legislative and related practice requirements are consistently met
* Review and develop insurance, public liability and data gathering (CCTV, medical/accident reports, etc.) processes to improve file integrity and preserve the company's legal position
* Engage with insurers and loss adjusters to actively manage/defend against liability claims
Other
* Proactively grow and develop the Business Support function – anticipating requirements and applying a leading practice approach to efficiency enhancement/process streamlining
* Liaise with IT service provider on e.g. supplies, ergonomics, staff system access, etc.
* Provide assistance with the organisation's broader IT migration project as appropriate
* Lead and manage specific internal projects and initiatives as assigned
