We're currently recruiting Administrative Assistant to support the day-to-day operations.
Key Responsibilities:
Goods Movements & Inventory Support:
* Raise, process, and maintain accurate records of Goods Received Notes (GRNs), dispatch documentation, and goods consumption records.
* Ensure all goods inward and outward movements are recorded accurately and reconciled on a timely basis.
Financial & Management Reporting:
* Create and maintain spreadsheets to track inventory movements, costs, and other operational data.
* Assist in the preparation of operational reports for local management and Group Finance.
* Support month-end and period-end processes by providing accurate and complete documentation.
Administrative & Finance Support:
* Provide general administrative support to the finance and management teams, including filing, document control, and data entry.
* Handle incoming and outgoing post and ensure correspondence is distributed appropriately.
* Assist with audit preparation by compiling supporting documentation and responding to information requests.
* Schedule and coordinate site visitors, including maintaining visitor logs and supporting site compliance requirements.
Typical Duties:
* Input data accurately into accounting and inventory management systems.
* Prepare and maintain Excel spreadsheets for tracking and reporting purposes.
* Support internal and external audits through document preparation and data verification.
* Perform ad hoc administrative and finance-related tasks as required to support site operations.
Skills & Attributes
* Strong attention to detail with a high level of accuracy in data processing and record-keeping.
* Well-organised with the ability to manage multiple tasks and meet deadlines.
* Proficient in Microsoft Excel and other Microsoft Office applications; experience with accounting software is an advantage.
* Reliable, discreet, and professional, with the ability to handle confidential information.
* Strong communication skills and the ability to work effectively as part of a team.
Work Environment
* Based at our Moynalty site, supporting a growing start-up operation.
* Requires flexibility to adapt to a wide variety of tasks in a new and evolving facility.
* The role involves a combination of routine responsibilities and ad hoc activities in a dynamic work environment.
