Role description:The Purchasing Administrator will be primarily responsible for the management, control and supply of Packaging & Ingredients to support the Production Plan as well as implementing, pricing & terms as agreed with Suppliers. This role is ideal for a recent graduate who is looking to enhance their skills and further their career in Purchasing/Procurement. You will have the opportunity to work in fast paced environment, where no two days are the same! You will work on a range of different projects which will give you the opportunity to see all aspects of our business. The successful candidate will be given the opportunity to specialise in categories based on their strengths and interests ranging from purchasing ingredients and being involved in new product development, to purchasing packaging items while having input in graphic sign off.Area Description:Our Purchasing team are at the heart of our business. They are responsible for ensuring we procure high quality products for our customers while complying with all Legislative and Regulatory requirements for Food Processing. They will purchase while adhering with the key company principals of purchasing O'Brien Fine Foods which is continually reviewed for effectiveness and improvement, the key objective is to have all staff empowered and taking ownership for their roles. Our goal is that we get our suppliers work with the same principals in delivery quality products in a cost effect manner.Duties And ResponsibilitiesDevelop knowledge within Material Category by becoming involved with Suppliers to understand material sources, manufacturing methods etc. Develop understanding of material requirements within site processes.Working closely with Technical/NPD & Finance on New Product Set up, ensuring all data fields are correctly completed and linked to the relevant Planning/Purchasing ToolsWorking closely with the selected suppliers and managing the company's procurement activities for Packaging & Ingredients while delivering on key elements such as quality, innovation, price and legislative requirementsParticipate in ongoing training & developmentResponsible for Supply/Demand Alignment, Material Replenishment and Supplier PerformanceSupporting the Purchasing Manager to work within the annual departmental budget & indirect budgets.Effective Supplier Management - Provide forecasts, develop relationships, manage Supply Chains, control administrative aspects of PO issue, order receipt, invoice query Resolution etc.Manage material supply in line with Business RulesMaintaining 'Internal' Service Level KPIs for Supply ChainEnsuring that (through data set up) product information flows accurately from the 'Bill of Materials' database through to all Production Scheduling systems and Purchasing systems.Management and Control of obsolescence by identifying unique or high risk Packaging & Ingredients and managing their supply accordinglyProvision of data to the Finance Team to ensure Gross Margin & KPI reports can be completed on a timely basisWorking closely with Supply Chain personnel and other DepartmentsResolving disputes and claims with vendors and suppliersParticipation in cost reduction projectsMaintenance of the Supplier ScorecardEnsuring full participation in the implementation of the company's policiesMaintenance of BOM "Bill of Materials"Working closely with the IT Systems Developer and recommending changes to systems and processes where necessaryFlexibility is required to cover cross departmental roles such as Planning and Dispatch, this may involve shift and weekend work.Essential Competencies:The suitable candidate will have formidable experience and working knowledge of:Ingredients and/or Packaging would be advantageousQualification in Procurement/Supply Chain/ Food Science would be an advantage.Excellent written and verbal communication skillsStrong self-discipline and a structured approach.Be a problem solverExcellent numerical ability to record, interpret and analyse key dataThe ability to meticulously identify and plan improvementsHigh proficiency in Microsoft Office (word/ excel/ access)Demonstrates flexibility and adaptability, and projects a positive manner in the face of changeExcellent communicator who facilitates bottom up and top-down communication channelsCandidate Experience:Similar experience in a role within the FMCG sector would be an advantage.Qualification in Procurement/Supply Chain/ Food Science is desirableFluency in English, both written and verbalHigh attention to detailEvidence of excellent leadership, administration & organisational skillsWillingness to learn
