Administrative Support Role
This is a key role within the Facilities team, providing comprehensive administrative support across various tasks.
* Key responsibilities include handling correspondence, filing data, monitoring systems and undertaking general office duties.
* The successful candidate will cover diaries for senior team members, scheduling internal and external meetings, visits and events as needed.
* Meetings will be organized in person and via Teams, ensuring accurate records are maintained and actions tracked and followed up.
* Minute taking will be a responsibility of this role, capturing all relevant details from meetings.
* Training events will be coordinated as requested and attendance recorded.
* Assumes ownership of the 'Flex' IT system by monitoring issues logged, coordinating responses and updating information as required.
* A dashboard is monitored daily to identify any anomalies which are reported to line manager immediately.
* ID badges are provided in a timely manner for all new staff.
* Troubleshooting of any technical issues is also undertaken.
* The car park telephone is overseen and patient/visitor/reception queries addressed promptly.
* Effective communication with colleagues, visitors and patients is essential for success in this role.
* Complaints are addressed immediately and escalated to manager if necessary.
* Mandatory training records are maintained and updated regularly for the department.
Required skills for the role include excellent attention to detail, ability to multitask effectively, strong communication skills both written and verbal and comfort working in fast-paced environments.
