Summary: Our client, a biopharmaceutical company based in Cork, is seeking a Maintenance Planner / Scheduler to support the scheduling and planning of maintenance activities within a GMP-regulated manufacturing facility.
The successful candidate will work as part of the Maintenance Operations team, coordinating maintenance activities across multi-skilled technicians, engineers and external service providers.
This role is key to ensuring work requests are prioritised, planned, and executed efficiently, with accurate CMMS records maintained in an audit-ready state.
Responsibilities: Plan and schedule all maintenance activities, including reactive, proactive, calibrations and preventative maintenance, delivered both internally and through specialist vendors Conduct daily and weekly planning and scheduling meetings with stakeholders to agree on work order priorities and ensure alignment across departments Review preventative maintenance plans to ensure accuracy, effectiveness and continuous improvement Work closely with the Maintenance Operations Manager and cross-functional site teams to plan jobs for effective execution by maintenance technicians Forecast maintenance workload across the business year, ensuring engineering work is scheduled appropriately and efficiently Maintain the notification backlog within the CMMS and ensure data remains accurate and up to date Evaluate work requests, develop the scope of work, and inspect job locations to determine requirements Estimate labour hours, parts, materials, equipment and special tools required to complete proactive jobs safely and cost-effectively Support the planning, scheduling and execution of annual plant maintenance shutdowns as required Lead investigations into failures of major equipment as required, supporting root cause analysis and corrective actions Complete deviations, CAPAs and change controls as required Develop and maintain a catalogue of standard job plans Develop and implement departmental procedures relating to the effective planning and scheduling of work Develop and maintain department metrics to support performance tracking and continuous improvement Execute standard work deployment and improvements across planning and scheduling processes Work with Stores and Purchasing to ensure required parts are available to complete maintenance work effectively Gather and manage technical documentation, including drawings, schematics, specifications, spare parts lists, OEM manuals and equipment history records Improve work order planning and scheduling effectiveness through review of maintenance metrics, reporting trigger points for RCA and facilitating RCA events Administer and maintain the Computerised Maintenance Management System (CMMS), ensuring records are accurate and audit ready Train new users on the CMMS system and support ongoing user adoption Participate in site safety initiatives and ensure compliance with established procedures Support audit preparation activities and maintain maintenance areas and records to regulatory standards Provide maintenance and reliability information as required to support change management and deviations Support the development and enhancement of site maintenance and calibration programmes Qualifications & Experience: Relevant qualification (Degree) Strong working knowledge of Computerised Maintenance Management Systems (CMMS), with previous CMMS experience essential Previous experience in maintenance planning and scheduling is strongly preferred, alternatively 5+ years maintenance experience may be considered Experience working in a GMP regulated environment, ideally biopharmaceutical, pharmaceutical or a similarly regulated manufacturing industry Ability to plan electrical and mechanical repairs and maintenance activities (mechanical/electrical background is an advantage)
