The Endoscopy Scheduling Lead is responsible for the efficient coordination, scheduling, and optimisation of endoscopy procedures within Beacon Hospital.
This role ensures effective utilisation of endoscopy lists while delivering a high-quality, patient-centred scheduling service.
Key Responsibilities Scheduling Operations Lead and manage the endoscopy scheduling function for all procedures (e.g. colonoscopy, gastroscopy, sigmoidoscopy).
Coordinate procedure lists in collaboration with consultants, nursing staff, and anaesthetics.
Optimise utilisation of endoscopy rooms Ensure accurate booking of procedures, including correct procedure type, duration, and sedation requirements.
Manage cancellations, amendments, and urgent add-on cases efficiently.
Patient Coordination Act as a senior point of contact for patients regarding appointment scheduling and preparation requirements.
Ensure patients receive accurate pre-procedure information, including bowel preparation and fasting instructions.
Liaise with patients regarding appointment changes in a professional and empathetic manner.
Leadership Team Management Provide day-to-day leadership and support to the endoscopy scheduling/administration team.
Allocate workloads, monitor performance, and support staff development.
Develop and maintain standard operating procedures (SOPs) for scheduling processes.
Governance, Quality Compliance Ensure scheduling practices comply with hospital policies, clinical governance standards, and patient safety requirements.
Maintain accurate patient records in line with GDPR and data protection legislation .
Support audits, service reviews, and quality improvement initiatives.
Stakeholder Insurance Liaison Liaise with consultants' offices regarding availability and list planning.
Support verification of insurance details and procedure codes where required.
Work closely with billing, admissions, and finance teams to ensure correct data capture.
Service Development Identify opportunities to improve scheduling efficiency, reduce waiting times, and enhance patient experience.
Contribute to service planning, capacity modelling, and service expansion initiatives.
Person Specification Qualifications Leaving Certificate or equivalent.
3 rd level Qualification desirable Experience Minimum 3-5 years' experience in healthcare administration or scheduling, preferably within an endoscopy or theatre environment.
Experience working in a private hospital or acute healthcare setting.
Demonstrated leadership or supervisory experience.
