RCSI's Career Development Team is part of the Centre for Mastery: Personal Professional & Academic Success. The team facilitates and empowers students toward career success, helping them overcome challenges and develop sustainable strategies for success as future healthcare professionals. The CoMPPAS mission is to be a recognised multi-disciplinary centre of excellence, fostering personalised student learning, wellbeing and success in an inclusive environment.
This role involves working closely with the Head of Career Development, the Director of Clinical Electives and stakeholders to deliver a superior experience in the clinical electives and career development programme. The successful candidate will have proven administration and change-management experience, with the ability to manage external and internal stakeholders and deadlines, and promote a quality improvement agenda through an integrated approach. The post aims to build on existing successes to maintain and further develop RCSI 's international reputation for excellence.
The ideal candidate is an experienced, enthusiastic, self-motivated coordinator with strong experience in a dynamic, collaborative team. The ability to work independently, manage a busy workload with competing priorities and tight deadlines, attention to detail, and a professional, team-oriented approach are essential. Flexibility, confidentiality, diplomacy, and tact are required for internal and external relations.
Duties
* Processing of requests, associated paperwork and communications for incoming and outgoing clinical and preclinical elective placements
* Coordination of North American residency programme application documents, including MSPE and related documentation
* Proactively respond to all communications related to the elective and career development programme
* Provide high-level professional administrative support to Head of Career Development regarding student electives and North American residency applications
* Design and deliver elective and career programme presentations to students
* Manage complex Excel files to manipulate and automate reported data
* Run routine reports for the career development team, students/alumni, employers, staff and faculty
* Design, create and modify forms, lists, and reports as needed by staff, faculty, and administration
* Input documentation data
* Liaise with internal and external stakeholders to ensure effective delivery of the elective and career programme(s)
* Attend meetings and represent the career development team professionally
* Support general university duties as required (e.g., awards ceremonies, conferrings)
* Develop strong working relationships with internal and external stakeholders
* Be flexible and responsive to the needs of staff and students
* Provide additional support on tasks and projects as directed by management
* Act in the best interests of the Career Development Team in all activities
* Undertake training and development as required
* Perform other duties as required

Knowledge and experience (essential):
* Proven track record of delivering within a fast-paced team environment

* Proficiency with Microsoft 365 applications
* Proven ability to learn new processes and procedures

Knowledge and experience (desirable):
* Degree qualified in a relevant discipline
* Familiarity with Graduate pathways, Residency Programmes, University Awards and the National Framework of Qualifications
* Experience with external electives portals including AFMC and VSLO, CaRMS/ERAS
* Project management and delivery experience
* Exposure to process improvement initiatives
