ECDS Administrator (Part-Time)Location: Various ECDS Centres (travel required across 7 centres)Hours: 20 hours per weekSalary: Starting from €28,042 (pro rata)About the RoleWe're delighted to be recruiting a friendly, organised, and reliable Part-Time ECDS Administrator to support our Early Childhood Development Services (ECDS) team.The Daughters of Charity Child and Family Service (DoCCFS) is a not-for-profit public service organisation. We provide a range of therapeutic supportive services to children and families, based in the greater Leinster area.Our Services include an Early Childhood Development Service (ECDS), Family Centre Service, Dublin & Louth Safer Families Service and Assessment Services.This is a varied and rewarding role at the heart of our services. You'll work closely with ECDS centres, managers, and the Senior Services Manager to ensure our day-to-day operations run smoothly. Your work will directly support children and families, making this an ideal role for someone who enjoys helping others and being part of a caring, values-led organisation.As this role involvesregular travel between our 7 ECDS centres, afull, clean driving licence and access to a car are essential.What You'll Be DoingNo two days will be the same, but your key responsibilities will include:Systems, Data & Information ManagementUpdating and maintaining the CRM system, including data entry, uploading, and archiving recordsMaintaining ECDS databases and producing reports as requiredCoordinating the collection, recording, and return of Outcome Measure data using Excel and the CRM systemCompiling statistics and monitoring information to support service deliveryCommunication & Internal EngagementKeeping the ECDS section of the HUB (internal intranet) up to date with relevant news and informationAnswering telephone calls, taking clear and accurate messages, and ensuring appropriate follow-upManaging incoming post and ensuring referrals received by mail are processed and filed correctlyResponding to information requests by issuing leaflets, referral forms, and other materials to clients and partner agenciesAdministrative & Operational SupportPreparing and distributing annual induction packs to ECDS centresProviding administrative support for grant applications in collaboration with the Senior Services Manager and Head of OperationsAssisting with scheduling meetings (including ECDS Manager meetings) and taking accurate, timely minutesManaging petty cash systems for ECDS centres, including oversight, reconciliation, and end-of-month submissionsOverseeing the application process for School Meals grantsRecords Management & General AdministrationMaintaining well-organised electronic and hard-copy filing systems in line with organisational policiesCarrying out general office administration duties such as typing correspondence, scheduling appointments, photocopying, binding, and filingSupporting the ECDS team with any other reasonable administrative duties as requiredAbout YouWe're looking for someone who:Is well organised and enjoys keeping things running smoothlyHas good IT skills and is comfortable using databases and Microsoft OfficeCommunicates clearly and confidently, both in writing and on the phoneHandles confidential information with care and professionalismEnjoys working as part of a team but can also work independentlyShares our values and has a genuine interest in working for a charityHolds a full, clean driving licence and has access to a car, as travel between centres is an essential part of the rolePrevious experience in an administrative role particularly within a charity, education, health, or social care setting is desirable, but we're most interested in your skills, attitude, and willingness to learn.Why Join Us?Be part of a welcoming and supportive teamDo meaningful work that makes a real difference to children and familiesGain experience across a range of services and systemsWork for a values-led charity that genuinely cares about its staff and communityHow to ApplyPlease send your CV and cover letter to Closing date: 20th February.
