To act as Residential Manager of a Technology Enhanced English Language summer centre for younger learners of 12-17 years of age as well the possibility of adult learners in Dublin and Athlone. To manage all aspects of residential accommodation for the summer programme including learner welfare and behaviour, running costs, relations with group leaders. The arrivals are from the end of June with the peak period being July continuing into August with reduced numbers.A typical day would include bringing students to have breakfast and ensure they are on time for lessons reporting and absences or lateness to DoS. Dealing with residential accommodation queries from group leaders as well as leading evening activities.Location: Galway Residence (Gold Crest)Reports to: Centre Manager / Young Learner Programme ManagerStart Date & Duration: 5 weeks from June 23rd (including training & preparation)Exact dates vary depending on location & bookings and will be confirmed before contract is signedTypical Hours: 08:00-11:00 + 16:00 - 19:00 Mon-Fri + 10 hrs either on Sat or Sunday (40 hrs/week) - Times may varyRate: €750 (including holiday pay) per weekKey responsibilities (non-exhaustive):Preparatory:Assist in developing an evening Activity Schedule (timetable) in advance of arrival based on FL summer programme brochureRisk-assess all evening activities and excursions and plan accordinglyFill in the room allocation file in advance of arrivalLiaise with Activities and Transport Coordinator to ensure all weekend excursion transfers have been booked and confirmedMeet with the managing director, academic director, and residence manager for planningAdministrative:Respond to daily emails regarding residenceUse and update Future Learning's data management systemsWelcome and brief students on arrival to the residence and assigning them to rooms according to rooming listEnsure accommodation standards are satisfactory, that cleaning and laundry (arrange weekly pick-up and drop-off) are done as agreed, and that students keep their spaces tidy.Organise mealtime supervision and ensure students are there in the assigned slot.Schedule and supervise a range of evening activities and implement a back up if there is an issue along with an additional Sunday excursion.Monitor and manage the conduct of students in the restaurant, residence and on activities.Working with the restaurant to ensure they have up to date numbers for meals and that they are informed of any allergies and that menus delivered are as agreed and any reasonable requests are accommodated.Keep a record of all residence-related incidents and how they are dealt withEnsure there is a plan for the evening activity with some flexibility for bad weather.Ensure residential-related payments are accurate and made in a timely manner. This includes chasing providers for invoices.Ensure weekly Residential staff Payroll is submitted accurately and in a timely manner.Contribute to the Development and updating of residential policies where they are currently lacking.Ensure rules and curfew are adhered toMeet the caterer daily to ensure that the correct number of meals have been delivered and Future Learning has been invoiced accordinglyMeet the leaders at dinner and brief them about evening activities ahead, with minimal last minute changes for that evening's activities.Staff:Run a weekly 2-hour debrief and development session with Residential staffEnsure Residential staff fill in activity reports, gather feedback and act on itSchedule residential staff and ensure they keep within working time limits and to allow for breaks and days off, including delegating duties for your day off.Learners:Liaise with the residential manager for activities and excursions.Organise to get learners safely on and off coachesDeal with any learners who are disruptive during activities or if they are illEnsure learners go to activities on timeTogether with the Centre Manager (who is the Deputy Designated Liaison Person), look after the safety and welfare of future learning students in residence at all times, including general health and safety and child protection.Relations:Establish and maintain clear lines of communication with all stakeholders.Liaise with management of the residence, the caterers and other service providersHandle residential accommodation or evening activity-related queries and questions that arise during the day from group leaders or learnersLiaise closely with our Centre ManagerLiaise closely with our YL Programme ManagerLiaise closely with the Activities and Transport CoordinatorBe prepared to take part in the bi-weekly briefings with the Centre Manager and Group LeadersMaintain close contact with group leaders, working to ensure that they and their learners are content with the residential programmePost a daily activity plan in the staff room for the group leaders and keep the relevant teams informed of any changes in the programmePerformance IndicatorsMaintaining a staffing ratio of 1 to 24 for all social and cultural activitiesMaintaining a transport utilisation of at least 90%Maintaining an activity and accommodation score of 8 out of 10Job Types: Full-time, Fixed term, Specified-purposeContract length: 5 weeksPay: €750.00 per weekBenefits:Food allowanceHousing allowanceOn-site parkingExperience:Programme management: 1 year (required)Summer programme: 1 year (required)Work authorisation:Irlande (required)Work Location: In person
