The Planning, Scheduling and Systems Manager is responsible for the development, coordination, and continuous improvement of the site-wide planning and scheduling processes, along with the day-to-day management of the Computerised Maintenance Management System (CMMS).
The role provides leadership in integrating Maintenance activities (preventative and corrective), Turnarounds, and Capital Projects into a single, aligned execution strategy. The position ensures that both short- and long-term plans are effectively developed, maintained, and delivered in line with business objectives, operational priorities, and HSE standards.
Summary
Collaborate with Area Maintenance, Project Execution, and Turnaround teams to optimise the use of Oracle for the planning, scheduling, and execution of site work activities.
Maintain the Computerised Maintenance Management System (CMMS) by ensuring:
All site assets are accurately established within the system
Preventative maintenance routines are created and maintained
Maintenance frequencies are aligned to operational requirements
Work activities are properly planned and scheduled
Develop, monitor, and report on leading and lagging performance metrics to measure maintenance and project execution effectiveness.
Promote and reinforce high standards of HSE compliance by setting clear expectations and actively supporting site HSE initiatives and programs.
Lead and support the maintenance planning function by establishing priorities and ensuring robust planning processes are in place prior to work execution.
Manage and maintain the Primavera P6 scheduling database, ensuring:
Work orders and associated activities are transferred from Oracle into P6 activities are logically linked, sequenced, and optimised integrated short- and long-term schedules are maintained
Scheduling standards are consistently applied across all business areas
Integrate corrective maintenance, preventative maintenance, turnaround, and project activities into a single site-wide integrated schedule.
Maintain accurate resource loading and availability within Primavera P6 across all site disciplines.
Produce detailed execution schedules for maintenance, turnaround, and project activities across both short- and long-term horizons.
Consolidate contractor schedules into the overall site schedule to support effective coordination and control of onsite activities.
Provide schedule performance reporting and metrics to communicate schedule health and overall maintenance effectiveness to the business.
Drive continuous improvement initiatives within maintenance management processes through collaboration with Maintenance and Capital Projects teams.
Support Project Managers and discipline supervisors (Mechanical, Electrical, Instrumentation, and General Services) in developing scope-of-work inputs for bid and contract packages.
Participate in major site events, including large projects and turnarounds, providing planning and scheduling expertise to support successful execution.
Support cost loading and forecasting activities within Oracle and Primavera P6 to improve budget visibility and cost control.
Requirements
Level 8 qualification in Engineering, or a time-served craftsperson qualification with relevant maintenance, shutdown, turnaround, and project execution experience.
Minimum 5 years’ experience in maintenance, turnaround, and project execution environments.
Advanced user of Primavera P6.
Strong proficiency in Microsoft Power Platform tools, including Power BI, Power Query, and SharePoint.
Strong planning, organisational, and coordination skills.
Ability to work effectively in a fast-paced, multi-disciplinary environment.
Excellent communication and stakeholder management skills.
Proven ability to lead, influence, and provide guidance across multiple departments.
Strong team collaboration and interpersonal skills.
