Unijobs on behalf of University of Limerick are seeking a Part-Time Administrator to join its administrative team in the Research Centre, Faculty of Arts, Humanities & Social Sciences, within the University.
This is a part-time, temporary position, working 17.5 hours per week, across Monday to Friday on campus.
This position is initially anticipated to be until 31st of July ****.
The successful candidate will be offered €***** per hour.
Job Purpose The purpose of this role is to support the development of a dynamic and award-winning research centre in UL.
The successful candidate will be fully responsible for the administration the Centre including its website, promotion, and communications, as well as the support the management of events including the international Challenging Hate conference to be held at UL in May ****.
The candidate will additionally provide secondary support to the Centre for Crime, Justice and Victim Studies within the School of Law.
Key Accountabilities/Responsibilities: * Respond to queries and provide guidance o Help colleagues with administrative tasks.
o Provide guidance to colleagues and students.
o Answer queries received by email/phone or in person.
o Monitor the email account and respond to or redirect queries as appropriate.
* Provide general administrative support * Provide financial support o Obtain quotes.
o Raise Purchase Orders.
o Monitor budgets.
* Provide support at Meetings o Schedule and organise meeting with required attendees.
o Minute taking at Research Centre meetings and any others as required.
o Prepare paperwork for meetings.
o Distribute relevant paperwork for meeting.
o Update and maintain centre SharePoint site with documentation.
* Support events/meetings o Book meeting rooms/venues .
o Book accommodation and travel.
o Book catering .
o Book visual/audio equipment.
o Liaise with Buildings & Estates re: room layouts.
o Promotion of events.
* Update Centre website and Social Media o Ensure the centre Website has up-to-date information.
o Ensure events are advertised on the SEIC website and on social media channels.
o Publish/update website content as requested by colleagues.
Essential Skills, Experience & Qualifications: * Ability to work to deadlines and display an organised and methodological approach to work.
* High level of accuracy and attention to detail.
* High degree of initiative.
* Excellent communication skills, both written and verbal, and the ability to handle staff, student, and external queries in a professional manner.
* Proven ability to work well as part of a team and commitment to collaborative working.
* Proficiency in Microsoft Office.
* Comprehensive knowledge of file management systems, record keeping, and GDPR.
* Proficiency in Agresso and SharePoint.
* Proven track record in administration.
* Demonstrated experience of working in a busy and challenging office environment.
* Experience of website maintenance.
* Leaving Certificate or equivalent.
* Minimum of 1 year administrative work experience.
Desirable Knowledge, Skills, Experience & Qualifications: * Knowledge of University academic regulations.
* Knowledge of University systems, policies and procedures.
* Proficiency in Agresso and SharePoint.
* Experience of minuting meetings.
