Job Title: Administrative Support Specialist

This role provides administrative support to the Site Project Director and other business partners. The ideal candidate will have excellent communication skills, be able to work independently and as part of a team, and possess strong organizational abilities.

Key Responsibilities:

* Manage incoming requests and direct them to the appropriate personnel.
* Coordinate travel arrangements, including registration, ground transportation, air travel, and lodging.
* Prepare itineraries and ensure timely execution.
* Develop and maintain distribution lists for teams and meetings.
* Process accounts payable invoices and direct incoming requests to the appropriate personnel.
* Prepare correspondence and materials for outgoing mail.
* Arrange visitor details and maintain departmental organization charts.

Requirements:

* 1-3 years experience in an administrative role, preferably in pharma/biotech/medical device industry.
* Ability to work independently with high self-management skills in a dynamic environment.
* Effective time management to meet multiple demands.
* Advanced competency in MS Office Suite, Word, Excel, PowerPoint, and Outlook.
* Proficient with Electronic Document Management Systems (EDMS).
