TEMPORARY OPPORTUNITY - SENIOR ADMINISTRATOR Location: Carlow Contract Length: 4 Months (Agency Temporary Assignment) Salary: 28.83 euro per hour Start Date: ASAP Are you a skilled administrator with experience in managing high-volume financial transactions and coordinating complex programmes? We are currently recruiting on behalf of our agricultural client for a Senior Administrator to join their team on a 4-month temporary contract.
Key Responsibilities: Programme Administration & Operations Act as the primary administrative contact for the Programme, liaising with scholars, supervisors, higher education institutions (HEIs), and colleagues.
Manage all data via Smart Simple, including set-up of new scholars, regular updates, and process monitoring.
Coordinate the annual call for proposals: manage reviewer communications, support supervisors, and prepare reports for assessment panels.
Implement ongoing improvements to Smart Simple to enhance system efficiency and usability.
Process scholar requests related to extensions, terminations, upgrades, and leave.
Ensure accurate data collection for completed scholarships by engaging with supervisors.
Delegate and support tasks within the programme team, including line management responsibilities for junior administrators.
Financial & Budgetary Management Administer monthly stipend and fee payments, ensuring accuracy and adherence to deadlines.
Assist in compiling the annual budget, monitor budget outturns, and support variance analysis.
Handle reimbursements for non-EU scholars and liaise with finance teams at HEIs to resolve queries.
Respond to internal and external audit queries, ensuring compliance with financial regulations and programme policies.
Reporting & Scholar Support Coordinate the annual scholar progress reporting process and compile institution-wide reports for senior management.
Provide direct support to scholars on financial processes, programme expectations, and administrative procedures.
Contribute to the development of the end-of-year report, ensuring data accuracy and clarity.
Maintain a high level of service in responding to ongoing queries from all programme stakeholders.
Process Improvement & Policy Development Streamline administrative workflows and propose process enhancements for greater programme efficiency.
Develop and maintain accurate programme documentation, policies, and training materials.
Support the planning and delivery of events such as induction days, development workshops General Duties Promote and uphold Quality Customer Service Charter and organisational standards.
Adhere to all health and safety obligations and contribute to a safe, collaborative working environment.
Support the wider team in strategic planning, performance reviews, and additional duties as required.
Ideal Candidate: Level 8 degree in business or related discipline (or equivalent experience).
Proven experience in administration with budgetary and programme oversight.
Proficiency in MS Office, and ideally, Smart Simple or similar grant systems.
Strong attention to detail, problem-solving skills, and communication abilities.
Ability to manage multiple priorities under tight deadlines.
Other Requirements: Full driving licence (role may require travel to other offices).
