Offer description

The Administration Officer will be the backbone of Burrenbeo’s operational support. This person will ensure the smooth running of our office systems, financial administration, event logistics, and general communications. Ideal for someone highly organised, efficient, and passionate about contributing to a meaningful cause.

Key Responsibilities

1. Office & Systems Administration

* Maintain and improve administrative systems, databases, and digital filing.
* Manage correspondence and enquiries via phone and email.
* Support compliance with data protection (GDPR) and internal policies.
* Merchandise and equipment management.
* Process invoices, payments, and receipts.
* Maintain financial records in conjunction with the Finance Manager.
* Assist in budget tracking and financial reporting preparation.

3. Communications & Coordination

* Support the coordination of internal team meetings and documentation.
* Managing event bookings as required.
* Assist with producing reports, newsletters, and member updates.

Essential Skills and Experience:

·Experience in an administration role

·Strong organisational and administrative abilities.

·Proficiency in Microsoft Office.

·Accuracy and attention to detail, especially in handling data.

·Experience with basic bookkeeping or accounting software (e.g. Bright Books) is a plus.

·A proactive, friendly approach and willingness to support a small, passionate team.

Other Information

Location

The position is based at the Burrenbeo Trust office in Kinvara, Co. Galway.

Nature and Duration of Contract

* 4 – 5 days per week, 3-year initial contract with a view to permanency.
* Subject to a 6-month probationary period.
* Flexible working hours, the timing of work hours will be agreed with the Trust CEO.
* Occasionally additional hours may be necessary for which overtime will not be paid but time off in lieu will be granted.

Accountability

The Administration Officer will be accountable to the Trust CEO as their line manager.

This position is offered within our Band B salary scale (€38,000 - €44,000), with the final offer based on skills and experience.
