Unijobs on behalf our public sector client is seeking a Skills Administrator to join their Corporate Services team, reporting to the Head of HR/Corporate Services Director.

This position is based in Dún Laoghaire, South Dublin (Hybrid working will apply - 3 days from home, this could potentially be less if cover is required on site).

Working 35 hours per week, the successful candidate will be employed as an agency employee. The salary scale aligned to this position is €31,105 - €48,430 DOE.

The successful candidate will also accrue 22 days annual leave pa, and will also be paid for bank holidays.

This is a temporary position; the initial contract length will be 6 months with the possibility of extension thereafter.


Summary of role


Our client is seeking a proactive and professional Administrative Assistant to support its Corporate Services Team. This role involves managing a variety of administrative tasks, including reception duties, facilities support, training course support, procurement administration, and human resources administration. The ideal candidate will have a strong background in administrative functions and possess excellent communication skills.


Principle tasks



Key Responsibilities

1. Provide day-to-day administrative support to the Director of Corporate Services and related units.
* Maintain accurate and up-to-date records, databases, and digital filing systems.
* Draft correspondence, reports, and other documents as required.
* Coordinate and track progress on action items and deadlines across the Corporate Services team.
* Schedule, coordinate, and prepare materials for meetings.
* Take accurate meeting minutes, produce action lists, and follow up on outstanding items.
* Distribute agendas, papers, and post-meeting communications promptly.
* Assist with procurement processes by supporting purchase orders using the organisations procure software system.
* Liaise with suppliers and vendors to manage procurement activities and resolve any related issues.
* Help maintain accurate and up-to-date records of procurement-related documentation.
* Human Resources Administration:
o Assist the HR department with administrative duties, including maintaining employee records, assisting with colleagues' queries, updating databases, and processing onboarding paperwork.
o Assist with timekeeping, leave management, and payroll-related administrative tasks as needed

Requirements



Experience

* Proven experience in an administrative role, preferably including reception duties, facilities support, procurement and/or human resources.
* Previous experience in supporting corporate services teams desirable.


Skills and abilities

* Strong organisational and time management skills, with the ability to prioritise tasks effectively.
* Excellent written and verbal communication skills.
* High attention to detail and accuracy.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other relevant systems.
* Strong interpersonal skills with a professional and helpful manner.
* Ability to work both independently and collaboratively within a team.
* Discretion and confidentiality when handling sensitive information.

* Strong interpersonal skills and a customer focused approach.
* Reliable, proactive and adaptable with a positive attitude.


Education/Qualifications

* Relevant qualification in administration, business, human resources or procurement would be beneficial.
* Relevant training or certifications in office administration, procurement, or human resources beneficial.


Desirable

* Fluency in spoken and written Irish

This position may be subject to Garda Vetting and Foreign Police Clearance, if applicable you will be required to obtain these prior to commencing in this role
