About The Role
We are seeking a seasoned Operations Manager to join our team. In this role, you will play a key part in developing and maintaining the systems and processes that keep our organisation running smoothly.
Key Responsibilities
1. Develop and Implement Systems: Lead projects to develop, implement, and improve organisational systems, especially CRM.
2. Collaborate with Suppliers and Teams: Work closely with suppliers, developers, and internal teams to ensure systems meet organisational needs.
3. Document and Train Colleagues: Create clear documentation, user guides, and training resources to support colleagues in using systems effectively.
4. Ensure Accessibility and Inclusion: Ensure all systems are accessible, inclusive, and adhere to universal design guidelines.
5. Project Management: Plan and deliver system-related projects from design to completion.
6. Manage Timelines and Risks: Manage project timelines, budgets, risks, and stakeholder engagement.
7. Involve Wider Team: Involve wider team in design and testing to ensure solutions are people-centred.
8. Monitor Progress: Monitor progress against agreed milestones and report to the Director of Operations.
9. Operational Support: Oversee operational areas or projects delegated by the Director of Operations.
10. Process Improvements: Support process improvements in administration, information management, and resource coordination.
11. Record Maintenance: Maintain accurate records across operational systems.
12. Reporting: Support the preparation of reports for funders, trustees, and stakeholders.
13. Compliance: Collaborate with the Governance & Compliance Team to ensure data protection, GDPR, and other compliance requirements are met.
14. Health and Safety: Work collaboratively with the Director of Operations, Administration, HR, Governance and Compliance to ensure Health and Safety Policies are implemented effectively.
15. Risk Assessments: Oversee risk assessments and ensure staff are fully aware of, and implementing, health and safety procedures.
16. Operational Alignment: Collaborate with the Governance & Compliance Team to ensure operational processes align with organisational policies, regulatory requirements, and best practice.
17. Data Sharing: Share operational data and system insights to support audits, reporting, and compliance monitoring.
18. Implementation: Implement compliance recommendations within relevant operational areas.
19. People Management: Support the Director of Operations with people management as required and delegated.
20. Culture: Contribute to a positive, respectful, and collaborative working culture.
