The role
Our client is seeking a highly organised and detail-oriented Billing & Finance Administrator to join their growing Dublin office.This is an excellent opportunity for an experienced administrator who enjoys working with numbers, managing multiple priorities, and delivering exceptional service to both internal and external stakeholders. The successful candidate will play a key role in supporting billing and finance processes, ensuring accuracy, efficiency, and a first-class client experience.Working closely with colleagues across Dublin and London, you will be responsible for managing billing activities, supporting financial administration processes, and assisting with a variety of office operations.Key ResponsibilitiesPrepare, review and issue client invoices in line with agreed deadlines and client requirements.Generate and amend billing proformas, ensuring accuracy of rates, purchase order numbers, and supporting information.Liaise with internal stakeholders, clients and finance teams to resolve billing queries efficiently.Support credit control activities by assisting with the follow-up of outstanding invoices.Process supplier invoices and payment requests, ensuring appropriate approvals are obtained.Assist with client onboarding and matter opening processes, including due diligence and compliance checks.Maintain accurate financial records and documentation.Support the processing and recording of client funds received.Build strong relationships with colleagues, clients, suppliers and external service providers.Provide administrative support to the wider office team when required.What We're Looking ForYou are someone who enjoys working in a fast-paced professional environment and takes pride in producing accurate, high-quality work.You’ll bring:Previous experience in billing, finance administration, legal support, professional services administration, accounts administration or a similar office-based role.Exceptional attention to detail and accuracy.Strong organisational skills with the ability to manage multiple deadlines.Excellent communication and stakeholder management skills.Strong numerical and analytical ability.A proactive approach to problem-solving.The ability to work independently while also contributing positively to a team environment.A flexible attitude and willingness to support colleagues when needed.Technical SkillsMicrosoft ExcelMicrosoft WordMicrosoft OutlookExperience with e-billing platformsExperience working with databases, finance systems or administrative platformsExperience using legal billing software such as Elite or similar systemsExperience in a legal, professional services, consulting or accounting environmentWhat Success Looks LikeThe successful candidate will be known for:Delivering accurate billing and financial administration.Building strong working relationships with clients and colleagues.Maintaining high standards of professionalism and confidentiality.Taking ownership of tasks and seeing them through to completion.Contributing positively to a collaborative team culture.Why Apply?Work within a highly respected professional services environment.Opportunity to develop specialist billing and finance expertise.Exposure to a broad range of stakeholders across multiple offices.Supportive and collaborative team culture.Ongoing training and development opportunities.If you would like to hear more about the position, get in touch with Evelyn @ evelyn.fraser@hrsearch.ie
