Key Responsibilities & Focus Areas
This role's primary purpose is to ensure the seamless coordination and management of client safety compliance testing, efficient engineer scheduling, and robust Health & Safety administration.
1. Client Liaison & Testing Coordination
* Act as the primary point of contact for clients regarding safety compliance testing, providing updates and scheduling confirmations.
* Schedule safety compliance tests for clients, ensuring timely service delivery and adherence to European height safety regulations.
* Maintain accurate records of client testing requirements, schedules, and reports.
* Ensure clients are contacted prior to their next scheduled test date.
2. Engineer & Operative Scheduling
* Coordinate schedules for engineers and operatives, ensuring efficient workflow and optimal resource utilisation.
* Communicate job details and proactively resolve any scheduling conflicts.
* Ensure field teams have all the necessary documentation and instructions before testing visits.
3. Health & Safety Administration & Compliance
* Assist the Health & Safety Manager in drafting, compiling, and completing Risk Assessment Method Statements (RAMs).
* Coordinate and facilitate H&S training sessions for all employees, tracking attendance and certifications.
* Proactively chase and obtain valid documentation (e.g., certifications, training records) from employees and external parties to ensure compliance.
* Deliver H&S inductions for new employees and visitors as required.
4. General Administration & Finance Support
* Issue test reports and compliance certificates to clients promptly after inspections.
* Provide ad-hoc administrative cover for the Finance Department, assisting with credit card reconciliations and general financial record-keeping as needed.
* Perform general administrative and reception duties.
* Assist with stock management/stocktaking and coordinating materials deliveries.
Key Skills & Experience Required
The ideal candidate will be a detail-oriented professional with a proactive approach to operational and safety compliance administration.
* Experience: Proven experience in an administrative, scheduling, or client coordination role, preferably within a technical, engineering, or compliance-based environment in the construction sector.
* Organisational Skills: Strong organisational and multitasking skills with exceptional attention to detail.
* Communication: Excellent verbal and written communication skills to liaise effectively with clients, engineers, and internal teams.
* Software Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential. Experience with CRM and financial software is a distinct advantage.
