Job Title: CRM & Database Coordinator – Membership System Implementation

Overview:

Our high profile client is seeking a technically skilled and motivated individual to join their team on a temporary basis as a Database Super User. This role is critical to supporting the implementation of a new membership system and for the success of the project and the Union. The successful candidate will bring their technical expertise and collaborative spirit to ensure a smooth transition while maintaining data integrity, providing essential reporting during the project period, and facilitating User Acceptance Testing (UAT), if needed. The successful candidate must have a can-do attitude and deal confidently with stakeholders and staff.

Key Responsibilities:

Project

* Act as the primary super user for the new membership system, providing expert-level support throughout the implementation period.
* Collaborate with stakeholders to gather reporting requirements and produce clear, actionable insights.
* Support the project team during the implementation phase, including User Acceptance Testing (UAT) by developing test plans, executing test cases, and documenting results.
* Troubleshoot and resolve technical issues as they arise.
* Ability to design and configure workflows in the CRM system
* Support the implementation of any new integrations or enhancements into the CRM system
* Undertake testing of customisations, and configurations in the CRM
* Provide feedback on system functionality and usability based on UAT outcomes, and work with the project team to resolve issues.
* Assist with projects and contribute to broader initiative to improve and enhance the CRM functionality
* Responsible for user access management and maintenance (activations, setup, permissions and deactivations)
* Assist in training and supporting colleagues on system functionality and usage.

Web

* Building and maintaining our web applications
* Implementing front-end designs provided by our stakeholders
* Implementing back-end website requirements

Data/Database

* Develop and optimise database queries and reports to meet organisational needs.
* Maintain data accuracy and integrity within the membership system, identifying and resolving inconsistencies as required.
* Assist with data migration to the new system, at the appropriate time.
* Understand various business processes and systems, and data needed to support them
* Conduct quality assurance activities including ongoing monitoring of data accuracy and consistency
* Assist with bulk imports of data to ensure information completeness and integrity
* Assist in the development and maintenance of end-user training an support materials as well as conduct training sessions as needed

Ongoing

* Ensure database security, including backups, user access control, and protection against data breaches.
* Monitor system performance and recommend enhancements to improve efficiency during the temporary engagement.
* Create reports and dashboards for users and management
* Issue periodic communications to the organisation on changes and enhancements

Required Skills and Experience:

* Strong background in IT, systems, or database management.
* Excellent knowledge of data management, including reporting, query optimisation, and database backups.
* Experience with data integrity practices and security measures.
* Familiarity with business analysis, testing processes (including UAT), or project support in an IT context.
* High proficiency in producing reports and dashboards for various stakeholders. Experience in a similar role designing, configuring and supporting CRM systems, preferably in a member-based organisation
* Prior involvement in system implementation or upgrade projects.
* Knowledge of tools and platforms for data analysis and reporting.
* Excellent communication and customer service skills and the demonstrated ability to apply initiative and to problem solve in a customer service/support environment
* Proven ability to analyse requirements and recommend solutions using knowledge of system design
* Experience in building and using APIs
* A self-starter, prepared to take initiative and learn new skills and system functionality
* Experience in data analytics or generating insights using business intelligence tools such as Tableau, Power BI, MS Excel or similar
* 3-to-5-year experience in a similar role would be preferable

Educational Qualification Requirements:

Third Level qualification in at lease one of the following:

* Bachelor of Computer Science
* Bachelor of Science in Business Analytics
* Full Certification in Project Management
* Full knowledge and Experience in:
* SQL/Tableau/MS SQL
* Data Pipeline/Data Modelling/Data Visualisation/Data Warehousing
