Job Summary
To provide administrative support to the Dublin office
Job Duties
* Manage the visitor and reception function for the office.
* Answer switchboard calls and route to relevant destination.
* Book visitors in at ground level reception.
* Ensure that guest arrivals are acknowledged by the host and assistance given when required.
* Directly support senior and executive managers with any administrative tasks (e.g., diary keeping, travel, expenses etc.).
* Oversee the meeting room schedule for the Dublin office and organise any refreshments/lunches that may be required.
* Manage inbound and outbound post, including couriers.
* Work on ad-hoc projects as directed by the office manager.
* Support the office manager with any facilities matters (health and safety, ordering stationary/consumables etc.).
Job Requirements
* A minimum of 3 years’ administrative experience
* Able to work with senior individuals professionally
* Confident and friendly with excellent communication skills
* Customer service centric mentality
* Ability to use own initiative
* Computer literate particularly in Word, Excel, PowerPoint etc.
* Ability to work on multiple tasks simultaneously
* Excellent attention to detail
