Key Responsibilities
HR & Administration
* Collect staff hours from timesheets and update payroll records weekly.
* Maintain HR and rota systems with accurate information on holidays, sickness, TOIL, and leave accruals.
* Onboard new employees, including setting up system access and preparing employment contracts.
* Draft and format policies and staff documentation for management review and approval.
* Maintain up-to-date employee registers, records, and compliance documents.
* Monitor visa expiry dates, leave requests, and ensure compliance with statutory requirements.
* Prepare and issue staff communications, memos, and notices.
Database & Reporting
* Input and update operational, financial, and compliance figures in internal databases on a weekly basis.
* Review rosters, reports, and data from multiple sites to support management oversight.
* Reconcile weekly contribution and financial tracking sheets.
* Ensure records across HR, payroll, and rota systems are consistent and accurate.
* Prepare and circulate reports for management on a regular basis or as required.
Operations & Compliance
* Maintain and update safety files, inspection records, and compliance documentation.
* Assign and manage audits for inspections and ensure records are complete.
* Liaise with contractors and service providers to arrange supplies, contracts, or maintenance support.
Procurement & Office Support
* Order and manage supplies, PPE, uniforms, and stock for multiple sites.
* Track incoming and outgoing stock, including uniforms and consumables.
* Provide general administrative assistance to management and teams.
Skills & Experience
* Strong administrative background with experience in HR or database management.
* Proven ability to prepare contracts, policies, or formal correspondence.
* Excellent attention to detail and accuracy in data entry and documentation.
* Skilled in MS Office (Excel, Word, Outlook) with the ability to learn new systems quickly.
* Highly organised, with strong time management and ability to manage weekly and monthly cycles.
* Confident communicator, able to liaise with staff, management, and external providers.
