Administrator - Clinic Reception - TUS Unijobs are currently recruiting for an Administrator to provide ad hoc, casual administrative and reception support for the campus clinic at TUS, Athlone.
The hourly rate is €*****.
We are assembling a panel to cover short notice/term vacancies for various Departments.
Purpose of Department: The Administrator provides essential administrative support to the Clinic team, ensuring the smooth and efficient operation of the department.
This role encompasses a wide range of responsibilities, including general administrative support, scheduling, and providing excellent customer service.
Principal duties and responsibilities: The successful candidate's duties will include the following: Providing front-of-clinic reception services, acting as the first point of contact for students attending the campus clinic.
Delivering a high standard of customer service, communicating clearly, professionally, and empathetically with students, many of whom may be unwell or distressed.
Managing the clinic waiting area, ensuring it is organised, calm, and appropriately supervised during busy clinics.
Scheduling appointments and maintaining accurate records using the patient management system (e.g. Socrates) and associated administrative systems.
Demonstrating the ability to learn and effectively use new systems and procedures relevant to clinic administration.
Providing administrative support, including data entry, filing, record management, and general office duties.
Responding to telephone and email enquiries and directing them to the appropriate clinic staff where required.
Supporting nursing and clinical staff with administrative duties, particularly when clinical staff are required to attend emergency situations on campus.
Ensuring all records and interactions are managed in accordance with confidentiality, data protection, and professional standards.
Desirable: A relevant academic qualification High level of proficiency in Microsoft packages, including MSword, MSexcel, MSTeams and MSoutlook, Experience in communicating and dealing with the public/customers, responding to queries and providing information in person, by telephone, or by email Experience in administration Demonstrable planning, organisation, communication, time management, and interpersonal skills A pro-active and problem-solving approach to challenges, with the flexibility to manage multiple tasks The ability to work independently and with a team, in order to deliver continuous quality improvement A positive approach to service delivery and service quality, with a customer-focus.
Strong analytical and logical skills, with the capacity to apply sound judgement.
The ability to work under pressure and deliver to demanding schedules A pro-active and problem-solving approach to challenges, with the flexibility to manage multiple tasks Unijobs is an equal opportunities employer.
