Mission of the Role
The Operations & Logistics Coordinator provides comprehensive operational and customer support across the group of companies, acting as the key link between customers, sales, warehouse, logistics, and finance teams.
This position ensures that all orders are processed accurately, deliveries are executed efficiently, and every customer receives professional and responsive service from start to finish.
It requires a Lean, process-focused mindset — someone who takes ownership, seeks continuous improvement, and enjoys making systems and workflows more efficient, accurate, and effective.
Key Responsibilities
Customer Service & Order Management
* Act as the primary point of contact for all customer enquiries and communications.
* Manage and track orders from receipt through to delivery, ensuring accuracy and timeliness.
* Provide proactive updates to customers and internal teams on order and delivery status.
* Assist with post-sale enquiries, returns, and complaints professionally, resolving issues promptly.
* Maintain accurate and compliant customer and order records in line with GDPR and company policies.
* Deliver exceptional customer service with a positive, solution-oriented approach.
Logistics Coordination & Delivery Management
* Plan, schedule, and monitor deliveries using internal logistics management systems.
* Liaise with warehouse and transport teams to ensure smooth fulfilment and on-time delivery.
* Ensure dispatch and delivery documentation is complete, accurate, and compliant.
* Act as the on-site contact for couriers and customer collections.
* Monitor logistics performance and escalate or resolve issues to maintain service standards.
Compliance, Documentation & Process Control
* Prepare and manage export and customs documentation where required (e.g. packing lists, declarations).
* Ensure adherence to all trade, customs, and company compliance requirements.
* Maintain and continuously improve Standard Operating Procedures (SOPs) for logistics and operational processes.
* Support the implementation of consistent process controls and quality standards across the group.
Systems, Reporting & Analysis
* Maintain accurate data within ERP, logistics, and reporting systems.
* Prepare regular reports on orders, deliveries, and operational performance.
* Identify trends, risks, and improvement opportunities based on data insights.
Cross-Functional Support & Continuous Improvement
* Provide operational cover and support across departments to ensure business continuity across the group.
* Assist with system upgrades, project implementation, and process rollout.
* Drive continuous improvement initiatives, identifying and eliminating inefficiencies and waste.
* Apply Lean principles to simplify workflows, standardise practices, and improve service levels.
* Support a culture of accountability, collaboration, and operational excellence.
About You

You'll bring:
* A degree (or equivalent qualification) in Business Administration, Logistics Operations, or Customer Service.
* Proven experience in operations, logistics, or customer service coordination.
* A Lean mindset — motivated by improving efficiency, reducing waste, and streamlining processes.
* Excellent customer service and communication skills, with a confident, positive attitude.
* Strong proficiency in Microsoft Excel and experience with ERP or logistics systems.
* Understanding of order management, delivery scheduling, and warehouse operations.
* Strong organisational, analytical, and time-management skills.
* The ability to work both independently and collaboratively across departments.
