About the Position

This position is responsible for assisting the Quality Officer and Quality Administrator in:

* Monitoring and reviewing quality control data, in conjunction with technical problem solving.
* Managing and responding to client queries/complaints and technical concerns.
* ISO17025 implementation and maintenance with the Lab Manager and Department Manager/Supervisors.
* Managing and maintaining ISO17025 Quality System.
* Managing and maintaining all incidents in ALS portal.
* Managing and maintaining CRM Stock system.
* Liaising with Laboratory Managers, Supervisors and Staff to ensure quality is maintained at the highest level.


Specific Responsibilities

Technical

* Assist in investigations related to client technical concerns;
* Assist in compiling summary reports on multiple, serious and/or systematic errors for clients;
* Assist in investigations related to proficiency testing (Internal ALS, external etc);
* Assist in determining, putting in place and follow up of laboratory corrective actions resulting from technical investigations;
* Update and maintain Quality Assurance Incident Database;
* Enter information into ALS Group’s proprietary software system as required;
* Monitor, track and keep Quality Officer updated on Client Incidents so that 75% are resolved within 14 days and 95% are resolved within 28 days;
* Track and follow-up on corrective actions linked to all incident types;
* Track and follow-up on potential contamination from high samples;
* Enter round robin and proficiency test data into the Quality Assurance Database;
* Assist in managing and maintaining CRM Stock system;
* Other duties as assigned by local Managers.


Audits — Internal

* Maintain and track Internal Audit schedule;
* Train and liaise with Internal Auditors;
* Review Internal Audits and log findings to ALS Portal;
* Follow up on Corrective Actions related to Internal Audit findings;
* Perform audits of laboratory sample batches;
* Perform local laboratory quality audits.


Quality Meetings, Presentations and Documentation

* Participate in, and take minutes from technical and quality meetings;
* Follow up on Actions generated during Quality Meetings;
* Update quality documentation;
* Train in presenting Quality Orientation to new staff;
* Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
* Observe established safety regulations and comply with all ALS health and safety policies and procedures.


KQI: Key Quality Indicators

* Know and understand the Key Quality Indicators (Blind PUL-QC, Final Volumes, Intermethod Comparisons, Global Vertical Audits, etc.).
* Ensure at the end of each month, that the lab has the Key Quality Indicators up to date in the portal and ready for review by Regional Quality Manager.
* Prior to the above, ensure that the Key Quality Indicators are reviewed along with Quality Administrator and/or Quality Officer and each department with appropriate comments and follow ups if failures or serious bias.
* Intermethod Comparisons should be reviewed along with Quality Officer, FA Dept and Data Approval; follow up on failed results and provide feedback to the lab on QC review.


ISO17025 Quality Accreditation — Quality System Management

* Assist in the management and maintenance of ISO17025 Quality Accreditation System;
* Assist in the training and development of the Quality Team and the laboratory on ISO17025 requirements;
* Assist in the control and collection of all mandatory ISO17025 (INAB), Corporate and Company documents to meet ISO17025 standards, and work closely with all teams and departments;
* Assist in maintenance and compliance procedures and track metrics to demonstrate quality achievement — Effectiveness;
* Assist the organisation to identify potential improvements to systems, processes and workflow;
* Assist in planning, coordination and participation in system reviews and quality audits, assisting staff in identifying potential improvements to systems, processes and workflows;
* Identify formal standards and regulatory codes appropriate to the organisation’s needs;
* Maintain documentation of processes and operating procedures;
* Implement statistical methodologies and quality tools to monitor and control quality;
* Advise on, and deliver, training relating to quality programs and objectives;
* Ensure that equipment is used in the correct manner;
* Arrange for maintenance tasks by liaising with Maintenance Team and the Department Manager/Supervisor;
* Arrange for repair or replacement of faulty or damaged equipment by liaising with the Dept Manager/Supervisor and Lab Manager;
* Arrange for testing before use and replacement of consumables as required;
* Other duties as assigned by Lab Manager and/or Quality Officer and Quality Administrator.


Required Knowledge, Skills & Abilities

* Excellent computer skills including MS Excel and MS Word;
* Excellent command of the English language, both verbal and written communication skills;
* Knowledge and experience with basic statistics;
* Ability to systematically analyse information and identify possible causes and consequences;
* Excellent clerical accuracy and typing skills;
* Strong interpersonal and organizational abilities.
