Duties and Responsibilities
* Manages multiple inbound calls from patients, makes appointments, and answers general questions and inquiries.
* Uses computer systems to reference existing patient information or set up new patients in the booking software.
* Ensures relevant data is captured on each call for booking and to enable callback if the line drops.
* Receives updates from practice managers on new campaigns and data capture improvements (e.g., how patients heard about us).
* Manages outbound call lists to reactivate patients.
* Ensures all appointments are phoned and confirmed in line with CliniCalls protocols.
* Minimizes gaps in the schedule and calls patients to offer earlier appointments to keep the diary full.
* Reports on no-shows and cancellations daily by email to the operations manager.
* Follow up with patients after no-shows and assess satisfaction with the service received where appropriate.
* Maintains general filing systems and manages electronic or manual correspondence.
* Works toward a high attendance/conversion rate within clinics and ensures deposits are paid for all bookings.
* Protects patient information, maintains confidentiality, and handles medical records with discretion.
* Performs other general administrative tasks as directed by the Operations Manager.
The Ideal Candidate
* Flexibility is essential as shift work is required.
* 2+ years of experience in a busy call centre or reception environment.
* Demonstrated initiative and strong organisational skills.
* Excellent interpersonal communication with a positive phone manner;
* Strong written and verbal communication skills.
* Experience with healthcare scheduling software.
* Proficient with a multi-line phone system.
* Ability to work independently and follow assigned directions.
* Handles confidential information with discretion and judgment.
