Excellent typing skills, including Dictaphone typing (in excess of 60wpm) Excellent knowledge of medical terminology Excellent IT skills including proficiency in MS Office suite Qualification: Be educated to Leaving Certificate standard or have passed an examination of comparable standard Second Level, or have satisfactory experience in an office of clerical officer or designated post Pitman training qualification or equivalent Duties and responsibilities: To provide an efficient secretarial support to Ophthalmic and Otolaryngology Consultants and their multidisciplinary teams where appropriate Initially you will be assigned responsibility for Consultant workloads, however based on service requirements the Patient Services Manager may assign or change your Consultant workloads depending on the exigencies of the service and to support and adapt the changes that are implemented. Initially you will be assigned responsibility for workloads in Medical Secretariat, however based on service requirements the PSM may assign or change your workload depending on the exigencies of the service. You may be required to assist with other duties and provide cross cover / rotation as determined by the PSM or designated deputy Provide administration/secretarial cross cover based on service requirements Provide administrative support and front desk coverage for clinic operations as needed, ensuring smooth patient flow and effective communication with clinical staff. Schedule all OPD Clinics for Consultants when required and responsible for reducing, increasing, blocking or cancelling when required for OPD clinics, for assigned Consultants Liaise and communicate with appointments, the check in clerk, in relation to availability of clinicians or re-schedule Perform all medical typing duties as required, clinical letters and/ or reports, also scan to appropriate Electronic Medical Record and issue electronically or in post. List all Theatre Lists, which includes changing/updating theatre sessions and book preops. This involves the Cataract Unit, Main Theatre and MPU. Liaise with the private secretaries involved with Consultant Private Rooms for Surgery at RVEEH Plan, organise and control service delivery within the administration duties daily, including phones and patient queries Responsible for booking the Oculoplastic Clinical Nurse Specialists clinics and minor procedure unit lists in line with the hospitals scheduling policy. Ensure a copy of all dictated letters is inserted/scanned in the Patient Record. Ensure that the Healthcare record is maintained in a timely, accurate and comprehensive manner and they are available promptly when required. Responsible for all general scanning of notes to Medisight the ophthalmology electronic medical record. In addition, records must never be left in such a manner that unauthorised persons can obtain access to them and must be kept in safe custody and or password protected. File and distribute all general correspondence and documentation in relation to the work of the department to GP and copies to referring practitioners Ensure all correspondence meets with hospital standards and ensure that all healthcare records are maintained as stated by the NHO standards Liaise and refer patients to staff in other departments, other hospitals and private consultant rooms and provide copies of Healthcare Records as required in line with hospital policy and procedure. Ensure the position is always covered and desks should not be left unattended until relief is in place Monitor the workload and report regularly to the DPSM/PSM To participate in courses/training required by the hospital or the Patient Services Management Process patient phone calls and liaise with the clinicians on queries for example prescriptions, queries etc Process and facilitate in the collation and presentation of data in relation to the RVEEH projects and work undertaken by the department in line with RVEEH policy Understand the importance and relevance of quality and data integrity in relation to the everyday work and that work is carried out to agreed standards.
