Overview
We are looking for an Executive Assistant to join our exciting team. As EA to the CEO, you will provide critical support to the CEO and Executive Leadership Team, ensuring that key business areas around growth & development, operations and office / facilities management are carried out effectively and efficiently.
How you'll make an impact
* Arranging Board of Directors and management meetings – compiling reports in advance and minuting same;
* Acting as a point of contact and gatekeeper between the CEO, Senior Leadership Team, employees and external stakeholders;
* Diary management for the CEO to include tech-set up, inbox monitoring and drafting replies;
* Scheduling regular personal review, appraisal and mentoring meetings
* Supporting the CEO with all management meetings in relation to Business Planning
* Undertaking key streams of work in relation to Business Plan development
* Undertaking project management work as required by the business
* Organization of travel arrangements for the Senior Leadership Team (to include flights, hotels, transportation, compiling of agendas etc.);
* Preparing client project proposals and other new business proposals
* Developing effective systems with the CEO to ensure the smooth operation of the business
* Taking a coordinating overview of all office systems to ensure their effective running and development
* Preparing presentations and agendas for meetings;
* Liaising with clients at a high-level on behalf of the CEO;
* Supporting the CEO in the preparation of information for media interviews
* Accurately recording minutes of meetings and distributing same accordingly;
* Assisting and oversight in all aspects of office and facilities management;
* Keeping the CEO abreast of key organisational issues – acting as a gatekeeper to the office of the CEO;
* Preparing client project proposals and other new business proposals;
* In conjunction with the CEO, developing new processes and procedures to ensure the smooth operation of the business
* Scheduling regular personal review, appraisal and mentoring meetings;
* Preparing weekly and monthly business billing updates for the CEO;
* Co-ordinating the submission of expense claims for the Senior Leadership Team;
* Providing direct support for the Senior Leadership team as per the needs of the business;
* Managing office stationery and supplies;
* Undertaking any ad-hoc project management work as required;
About You
* Experience of working within a regulated environment
* Educated to degree standard or equivalent is desirable
* Confident communicator with stakeholders at all levels in the business
* Ability to discreetly handle confidential and highly sensitive information
* Excellent accuracy and attention to detail
* Basic knowledge of general insurance (Ireland) products, services, and good understanding of underlying legal principles and practices relating to risk within own role capacity
* Ability to multitask and prioritise competing deadlines
* Strong IT skills (advanced level proficiency across MS Office Suite is essential)
* Ability to think proactively and laterally to maximise opportunities to promote the work of the organisation Comfortable when working to tight deadlines, and able to turn work around within a short time span where demands are liable to change at short notice
* Demonstrates a high degree of personal organisation and self-management
* Comfortable working autonomously and across multiple tasks and reporting into different project working teams and staff members
