Overview Of Role
The Access to Care Advisor will be part of an integrated team across our UPMC healthcare services that will simplify Access to Care for our patients. The successful candidate is expected to operate with agility and diligence to ensure the team's success in furthering our mission of bringing life‑changing medicine to all patients and communities we serve. We seek a candidate with healthcare experience who is service‑mindful, driven to help others, and focused on making the patient experience as straightforward as possible. The ideal candidate is a team‑player who is adaptable, responsive, and learning‑mindful in a fast‑paced environment, organised in their approach, and competent in the use of technology to facilitate collaborative and effective work.

Primary Duties and Responsibilities
Reception, Switchboard and Outpatients Department
Deliver an excellent patient experience to all patients and stakeholders.
Manage all contractor, visitor, and patient pathways daily.
Handle car park enquiries in conjunction with the Facilities Team.
Manage call volumes and progress any voicemail queries efficiently and professionally.
Maintain open daily communication with the nurse in charge.
Deal with all telephone calls to the department professionally and efficiently, ensuring calls are directed to the relevant people.
Collect admissions from reception when requested and enter them into the iSOFT system.
Allocate admissions into the correct bed/bay and assist with patient transfers when necessary.
Organise clinic appointments and G.P appointments as required.
Medical Chart Management
Maintain patient medical notes and X‑rays, ensuring follow‑up on reports and filing of test results once signed off by consultant or RMO.
Verify that patient identification details are correct and up to date.
Maintain patient confidentiality in accordance with hospital policy.
Prepare notes for patients referred to other departments or hospitals as directed.
Ensure insurance forms are completed by patients.
Distribute discharge letters or notes promptly and file them correctly.
Office Management Duties
Ward reception duties and organisation of non‑clinical areas, e.g., nurses’ station.
Complete all requested administrative duties including typing, photocopying, and scanning.
Discharge patients on iSOFT, confirming correct discharge date and time.
Quality & Safety – Safe Culture
Adhere to Quality and Safety procedures and protocols to ensure a safe culture.
Health and Safety
Uphold UPMC Kildare Hospital’s policy requirements for Fire, Infection Control, and Health and Safety at Work regulations.
Identify potential risks for staff, patients, and visitors, and adhere to incident reporting procedures.
Observe a general duty of care for the health, safety, and well‑being of all individuals within the hospital.
Eligible Criteria – Qualifications & Experience
Excellent administrative and organisational skills.
Excellent interpersonal skills and effective communication with management, consultants, staff, patients, public, and external agencies.
Ability to work in a fast‑paced customer‑based environment.
Commitment to patient confidentiality.
Effective teamwork and initiative.
Time‑management skills.
IT proficiency in Microsoft Office.
Desirable Criteria
Experience in an acute hospital setting.
Knowledge of medical terminology.
IT proficiency in iSOFT.
Salary
€30,805.00 - €46,336.78 per annum based on a 39‑hour work week.
