Administration Manager (Women's Health Dublin)

The role offers the unique opportunity to shape a brand-new centre, lead a committed administration team, and deliver an exceptional patient experience.
As Administration Manager, you'll be the driving force behind front-of-house operations, appointment management, patient flow, and administrative excellence. You'll lead, support, and motivate a growing admin team, champion customer service standards, and keep daily operations running smoothly.
Reporting to the Operations Manager and working closely with clinical teams, you'll ensure that service is efficient, patient-focused, and delivered to the highest standard.
Responsibilities include ;
* Supervise and inspire the admin/reception team
* Manage rosters, performance, training, and development
* Build a strong, engaged, service-focused culture
* Oversee reception, bookings, call handling, and patient registration
* Ensure smooth appointment coordination across multiple specialties
* Troubleshoot operational issues and maintain high service standards
* Support SOP development and process improvements
* Oversee admin systems, CRM/booking tools, TMS, and telephony
* Maintain accurate, confidential patient records
* Use data and KPIs to improve workflow and service delivery
Work closely with consultants, nurses, and other teams you will ;
* Provide clear communication channels for staff and stakeholders
* Escalate incidents promptly and support continuous improvement
Our ideal candidate will need;
* 3+ years' experience supervising or leading admin teams
* Strong background in scheduling, call handling, or front-of-house operations
* Confident people leader with excellent communication skills
* Tech-savvy—comfortable with CRM/telephony/booking systems
* Experience in healthcare, Meditech, IPIMs, or IMedDoc is a plus
