The Law Society is inviting applications for a Financial Regulation Assistant in the Financial Regulation Section of the Regulation Department on a permanent contract. The ideal candidate will be an experienced administrator/secretary proficient with Word and Excel. Familiarity with databases and case management systems would be an advantage. It is important that the successful candidate is flexible in their approach to work.
Main duties and key responsibilities
The successful candidate will carry out the following duties in line with the Society’s standards and strategic objectives and as directed by the Head of Financial Regulation. The duties primarily involve providing secretarial and administrative support to the executive team in the Financial Regulation Section.
* Updating and maintaining case management system, including scanning incoming post
* General copy and dictaphone typing
* Dealing with queries on regulatory history of solicitors
* Filing of documents
* Maintaining and updating various systems and records
* Liaising with team of investigating accountants and other executives
* Assisting Financial Regulation Executives responsible for reporting accountants reports function
* Answering telephone and email queries from solicitors and accountants and assisting in dealing with such queries
* Drafting correspondence to solicitors and accountants
* Preparation of documentation for regulatory committee meetings Uploading documents onto the Intellidocs system
* Acting as receptionist at in-person meetings of regulatory committees
* Liaising with committee members
* Other miscellaneous duties assigned
Knowledge and skills
* Excellent administrative, organisational, communication and interpersonal skills.
* Excellent IT skills in Word, Excel, Powerpoint and Outlook.
* A good eye for detail, and ability to carry out accurate and precise work under pressure and time constraints.
* An ability to work on his or her own initiative, as part of a team and be proactive in their role.
* Have a flexible approach to his or her work and responsibilities.
* Some experience working in a regulatory, legal or other professional environment.
