Temporary Administrative Assistant Role
We are seeking a temporary administrative assistant to support the planning and execution of university conferring ceremonies. The successful candidate will contribute to ensuring a smooth and professional experience for all attendees.
Key Responsibilities:
* Manage communications via email and phone, handling special requests from students and guests.
* Provide on-the-ground assistance during ceremonies, including updating records on internal systems, coordinating the distribution of parchments, and supporting event logistics such as signage, printing, and student ambassador coordination.
* Deal with queries via phone and email from students, exams office, fees office, student registry helpdesk, and general public.
Main duties include assisting the team with invitations, student ambassadors, conferring desk, printing and signage, collating academic attendance confirmations, and updating fee status records. Additionally, the role involves cross-checking of lists and being present on the day of ceremonies to ensure things run smoothly.
