Frontline administrative and organisational support
for Neurodiversity Ireland based in our new Sensory Centre in Sandymount (opening Feb 2026)
Client Support
* Be the first point of contact, welcoming and greeting all clients, visitors, and external stakeholders with a professional, empathetic, and confidential approach.
* Manage all incoming and outgoing communication, including answering the main telephone line, handling general inquiries, and monitoring email inbox.
* Book, schedule and confirm client appointments using the organisation's electronic diary or booking system.
* Ensure the highest level of
confidentiality
and adherence to
GDPR (General Data Protection Regulation)
when handling sensitive information.
Clinical Administration
* Register new clients, accurately enter and update client data on the clinical management system
* Act as the key administrative link between clients and the clinical team
Financial & General Administration
* General office and facilities management (e.g., managing post, coordinating clinical rooms, ensuring compliance with health and safety, liaising with cleaners)
* Administrative duties such as fundraising administration (e.g., processing donations, issuing receipts and sending thank you receipts)
* Undertake book-keeping duties including management of income and expenditure, donations and preparation of documentation with Finance team
* All administration associated with our Sensory Centre, inclusive of ensuring all insurance documents, gardai vetting, license agreements etc are in place and up to date.
* Assist with the organising of camps and after school activities with our Sensory Centre Manager (assisting with co ordinating timetables, liaising with families and staff as and when needed)
* Managing facilities requirements with the Sensory Centre Manger and their teams or contractors as needed
* Assist with and attend Neurodiversity Ireland events as and when required.
* Any other duties that may be required
Essential Requirements & Skills
Proven experience in a busy administration
,
reception
, or
healthcare setting
(e.g., medical administrator, clinic administrator). Experience in the Not-for-Profit sector is a significant advantage.
Excellent working knowledge of MS Office (Word, Excel, Outlook) and demonstrable experience with
electronic booking systems
and/or client/patient database systems (
CRM systems
).
Exceptional communication (written and verbal),
interpersonal skills
to deal with clients/patients, with
empathy and discretion

Strong
attention to detail
and accuracy.
Excellent
organisational
and
time management
skills, with the ability to
prioritise
multiple tasks
