Working hours are Monday to Friday, 8:30 AM – 5:30 PM.The Document Controller / Administrator is responsible to carry out daily project office administrative tasks, maintain project documents, create reports, ensuring that accurate information is distributed throughout an organisation, taking appropriate direction from the Electrification Manager and nominated line managersDuties and responsibilities of the position:Coordinate and manage information flows between the various sections within the DART Electrification department.Archive files and ensure all team members have access to necessary documentation.Following project plans and programmingLiaising with central IT, Quality and Governance structuresLiaising with head office when requiredPlacing orders and raising purchase ordersArranging third party access accounts for new and existing team members.Creating procedures related to the control and management of project documentation.Responsible for document control activities.Dealing with deliveries to building and various suppliers.Organise and file current document backlog from project job packages per the company's current filing process.Transmit documentation and submittals through the SharePoint system.Receive, log, and track plans and specifications as received including all revisions.Distribute through SharePoint, plans and specifications to team members.Maintain electronic copy files of project documentation.Support project team in regard to submittals, drawings, specifications, and other project documents.Performs other related duties as required and assigned.Create, track and submit timesheet weekly and monthly summaries to client.Arrange meetings as required.Attend meetings, write minutes and distribute.We are looking for a profile with the following requirements and competences:Right to work in IrelandPrevious project administrative experience in an office environment.A Team playerExcellent MS Office skills, particularly Word & ExcelKnowledge of SharePoint administration and quality control processes within a PMS (Project Management System).
