Office Manager Role

We are seeking a highly skilled and motivated individual to fill this critical position. As an Office Manager, you will be responsible for overseeing the daily operations of our office in HQ.

* Administrative tasks include managing office supplies, coordinating travel arrangements, and ensuring seamless day-to-day operations.
* You will also be responsible for managing reception calls and emails, as well as handling all office deliveries and inventory purchase orders.
* A key aspect of this role is communicating effectively with all staff members, organizing internal meetings, and onboarding/offboarding new team members.
* In addition, you will manage office services contracts, including cleaning, shopping, security, and other essential services.
* Another crucial responsibility is managing staff events, as well as all office utilities and subscriptions.


Support to Chief Executives

You will provide administrative support to our Chief Executives, including managing their diaries, travel itineraries, and correspondence.

* You will also be responsible for recording and minute-keeping for meetings involving Chief Executives, as well as preparing marketing materials and reports with the marketing team.
* Furthermore, you will identify and apply for funding opportunities available for start-ups in Enterprise Ireland and maintain a tracking record of progress.
* You will manage claims and timesheets for Disruptive Innovation Technology Fund, which we have secured.


Clinical Skills Management

As an Office Manager, you will play a vital role in clinical skills management, including:

* Daily management of tasks in CRM for Chief Executives.
* Management of contacts and leads for Chief Executives.
* Cold calling and introduction mailing potential clients for Chief Executives.
* Arranging meetings for Chief Executives.


Recruitment, HR & Financials

You will be responsible for managing the organization's hiring process, aligning closely with budget plans for recruiting staff, managing staff onboarding processes, and maintaining company policies.

* Additionally, you will procure all company office supplies, software subscriptions, and manage company Healthcare and pension plans.
* You will implement company culture and facilitate employee engagement and relations, managing all company purchase orders.


Marketing & IT Support

As an Office Manager, you will collaborate with the Marketing Communications team to build and develop digital content for internal newsletters.

* You will create training resources and governance to enable engagement programs across the business.
* You will manage, develop, and analyze GagaMuller's website, maintaining a network of media contacts and building ongoing relationships with key influencers in the industry.
* You will assist with designing and creating monthly and yearly communications reports, managing and allocating all Subscriptions across the business.
