Role Purpose
The Bookkeeper will play a vital role in ensuring the smooth and accurate financial operation of Link Galway CLG and its associated social enterprises. This role combines hands-on bookkeeping, grant management, and administrative support. The successful candidate will ensure financial compliance, assist with reporting to funders and stakeholders, and support the Service Manager in maintaining transparent, efficient, and community-focused operations.
Key Responsibilities
Financial Management
* Manage all day-to-day financial transactions, including income, receipts, invoices, and payments.
* Maintain accurate and timely records within the accounting system (Currently Xero but open to be changed to successful candidates preferred system)
* Prepare and reconcile Accounts Receivable and Accounts Payable.
* Issuing quotes & quotes to customers.
* Paying incoming invoices in a timely fashion
* Reconcile debtor and creditor accounts and resolve discrepancies promptly.
* Conduct cash, sales, and bank reconciliations regularly.
* Assist with weekly payroll processing and ensure confidentiality and accuracy.
* Prepare monthly financial reports (profit and loss, cash flow, balance sheet) for management and Board review.
* Support the Auditor Accountant with year-end accounts and comply with audits.
* Complete and submit VAT returns and ensure full regulatory compliance.
* Facilitate the roll out of Auto Enrollment for eligible staff.
Grant and Funding Administration
* Support the preparation and monitoring of grant budgets, expenditure reports, and claims.
* Track and record all income and expenses related to grants and funding streams.
* Assist the Service Manager in ensuring compliance with funder reporting requirements and deadlines.
* Contribute to financial reporting for funding applications and impact reports.
Operational and Administrative Support
* Provide professional interaction with all staff, customers, service users, suppliers, and stakeholders.
* Assist in maintaining accurate records and filing systems (digital and physical).
* Support the Service Manager with general office operations and communications.
* Contribute to the continuous improvement of administrative and financial processes.
* Liaise with the management team to ensure accurate recording of sales and expenditure.
Teamwork and Collaboration
* Work closely with the Service Manager, Café Manager, Senior Training Instructor, Café Manager, Enteprise Manager, Auditor Accountant (annually), and the wider teams to ensure coordinated financial management across all sites.
* Participate in staff meetings and contribute to a positive, inclusive organisational culture.
Requirements
Essential
* Minimum 2 years' experience in bookkeeping or financial administration.
* Strong understanding of accounts payable/receivable, bank reconciliation, and VAT.
* Excellent organisational and time management skills.
* High attention to detail and accuracy.
* Proficient in accounting software (e.g., QuickBooks, Sage, or Xero) and Microsoft Excel.
* Strong communication and interpersonal skills, with the ability to work collaboratively.
* Commitment to the mission and values of a not-for-profit, community-based organisation.
Desirable
* Experience working within the community, social care, or not-for-profit sector.
* Knowledge of grant management and funding compliance.
* Experience in a hospitality or social enterprise environment.
Terms & Benefits
* Contract: 1 year fixed term contract which may be renewed subject to funding
* Hours: 8-10 hours per week (2 x 4/5 hours shifts per week, occasional flexibility required).
* Location: Sandy Road, Galway with site visits to Café Link locations across the city.
* Hybrid Option: Up to one day per week after probation successfully completed and subject to clear agreement in place.
* Salary: Commensurate with experience and sector standards.
* Start Date: Intended start date of the week beginning 5th January 2026
