Specified Purpose, Full-Time (35 hours per week)
The successful candidate will be responsible for providing general administrative support to the Human Resources Department and will be required to contribute to the ongoing development of a Corporate HR Service to the Hospital. The successful candidate will provide comprehensive administrative support across the hospital campus.
Principal Duties And Responsibilities
* Assist in the administrative duties on a daily basis as required in order supporting the smooth running of the Human Resources Department.
* Deal with incoming phone calls and messages.
* Meet and greet employees/visitors who present to the department.
* Assist in the recruitment administration for allocated recruitment competitions and all related filing and correspondence.
* Process management and staff queries in a timely and efficient manner.
* Co-ordinate name badges for Hello My Name Is campaign.
* Provide administration recruitment support including:
* Upload job advertisements on recruitment platforms
* Invite candidates to interview and create a schedule for Business Partners
* Prepare interview packs and issue to Business Partners
* Issue feedback for candidates
* Manage all pre-employment documentation and background checks
* Manage pre-employment logs
* Provide secretarial support to HR Committees to include attendance at monthly meetings, minute taking, and circulation of relevant documentation in a timely manner and co-ordination of scheduling, room bookings etc.
* Assist in the administration and point of contact for placements participants and follow up reviews.
* Assist in the updating and maintenance of manual and computerised HR records.
* Undertake the HR departments filing and scanning.
* Responsible for process and coordination of the Travel scheme
* Responsible for process of archiving files with IMSCAN, maintenance of accurate database of files scanned and dealing with queries related to archived files.
* Liaise with other departments and outside agencies where applicable.
* Provide locum cover for colleagues in their absence as required.
* Undertake continuing education and development activities consistent with the position.
* Other duties appropriate to the post as assigned from time to time.

Eligibility Criteria
Eligible applicants will be those who on the closing date for the competition have:
Qualifications / Experience
1 year relevant experience in an administration role in a hospital environment.
Or
1 year relevant experience in a Human Resources administration role.
And,
(i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004.
Or
(ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish1. Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination.
Or
(iii) Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction.
Or
(iv) Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI). *
* Candidates must achieve a pass in Ordinary or Higher level papers. A pass in a foundation level paper is not acceptable. Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme. The Leaving Certification Applied Programme does not fulfil the eligibility criteria.

* Third level qualification in Human Resources
