**Job Summary**
We are seeking a highly organized and analytical Facilities Planner to support the launch of our new European manufacturing site. This role will play a critical part in ensuring the efficient operations of the Facilities Department.
**Key Responsibilities**
You will provide administrative support to the facilities department, including scheduling meetings, managing correspondence, and maintaining records.
You will help prepare and track budgets for facilities-related spend.
You will ensure all facilities comply with health, safety, and environmental regulations.
You will generate reports on maintenance activities and project progress.
You will work closely with other departments to understand their requirements and provide solutions.
You will create and manage purchase orders, ensuring timely and accurate processing. Procure supplies and services for facilities maintenance.
You will work with the accounts payable department to ensure timely payment of invoices and resolution of any discrepancies.
You will develop and manage service level agreements (SLAs) with vendors and service providers to ensure quality and performance standards are met.
You will issue employee access cards with the support of the security team to ensure proper access control and security measures.
You will supervise and issue work orders to facilities technicians & external contractors.
You will ensure completion of work to time, cost, and quality standards.
You will maintain and organize all facilities-related documents, including contracts, maintenance records, and compliance certificates.
**Requirements**
* A Bachelor's degree in a related field.
* Minimum 2-5 years of experience in facilities administration or planning.
* Strong organizational and administrative skills.
* Excellent communication and interpersonal skills.
* Skilled with Microsoft Office suite.
* Experience of managing budgets and negotiating contracts.
* Experience with purchasing software such as Coupa and Computerized Maintenance Management Systems (CMMS).
