Key Responsibilities
Safety & Compliance Administration
Maintain accurate records of all statutory safety checks across the housing stock.
Monitor and track compliance activities using internal systems.
Raise work orders and job tickets following inspections, audits, and compliance checks.
Maintain up‑to‑date compliance registers and ensure certification documentation is correctly stored.
Assist in preparing documentation for audits and regulatory inspections (e.g. AHBRA, HSA, Fire Authority).
Support the preparation of compliance reports for senior management and the Board.
Record contractor performance and response times relating to compliance activities.
Contracts, Procurement & Property Services Support
Assist with procurement‑related administration for works, goods, and services.
Maintain schedules of ongoing works, including contractor details, timelines, and responsible staff.
Input and maintain property‑related data.
Assist in the preparation of reports, presentations, and documentation for stakeholders.
Coordination & Customer Liaison
Act as a key point of contact for tenants, contractors, and staff regarding property works and compliance activities.
Coordinate access for inspections, servicing, and planned or reactive works.
Communicate with tenants via phone, email, SMS, or post regarding scheduled works and compliance checks.
Follow up on missed appointments or access issues with tenants and contractors.
Undertake post‑works surveys and gather tenant feedback.
General Administration
Provide day‑to‑day administrative support.
Attend meetings, take minutes, and maintain records.
Organise meetings, book rooms, and coordinate facilities.
Use software tools such as Microsoft Word, Excel, Outlook, PowerPoint, and internal systems.
Maintain accurate records in line with GDPR requirements, including contractor data.
Organisational & Corporate Responsibilities
Promote the organisation positively in all activities.
Collaborate effectively with colleagues, regional offices, and external stakeholders.
Maintain strong working relationships across teams and partner organisations.
Adhere to all company policies and procedures.
Health & Safety Responsibilities
Carry out all duties in a safe manner in accordance with the organisation's Health and Safety Policy.
Ensure awareness of risk assessments and safe working practices.
Support a culture of safety and compliance across all activities.
