The Endoscopy Scheduler is responsible for the accurate and efficient scheduling of endoscopic procedures within Beacon Hospital.
The role ensures a high standard of patient service while coordinating closely with Consultants, nursing staff, and administrative teams to support safe, timely, and well-organised endoscopy services.
Responsibilities and Deliverables Schedule endoscopic procedures (e.g. gastroscopy, colonoscopy, sigmoidoscopy) in line with Consultant instructions, patient preferences, and endoscopy suite capacity Act as the primary point of contact for patients regarding procedure bookings, preparation instructions, and admission details Liaise with Consultants and Endoscopy Nurse Managers to optimise lists and manage changes Ensure all required documentation is in place prior to procedures, including referrals, consent forms, and clinical notes Verify patient demographics, insurance details, self-pay status, and authorisations where applicable Provide clear written and verbal bowel preparation and pre-procedure instructions to patients Manage waiting lists, cancellations, and short-notice bookings to maximise utilisation of endoscopy capacity Ensure compliance with GDPR, hospital policies, and confidentiality standards at all times Respond professionally to patient queries and concerns, escalating clinical issues to nursing staff when appropriate Support audit, reporting, and service improvement initiatives within the Endoscopy Unit Health and Safety Participate in ensuring that effective safety procedures are in place to comply with the Safety, Health and Welfare at Work Act as within hospital policy.
Quality Ensure adherence to all hospital policies and procedures.
Ensure adherence to all codes of and guidelines relating to professional practice.
Flexibility This post requires a high level of flexibility to ensure the delivery of an effective and efficient service.
Therefore, the post holder will be required to demonstrate flexibility as and when required by their manager.
Essential Requirements Qualifications Comprehensive second level education Computer Skills Skills/Abilities High level of proficiency using English language both verbal and written Excellent team player Excellent organisational, communication and interpersonal skills Ability and experience in liaising with staff at all levels within the hospital Ability to use initiative.
Previous experience in medical scheduling, hospital admissions, or healthcare administration Knowledge of medical terminology; gastroenterology or procedural scheduling experience is an advantage Experience Must be a self-starter with the ability to work under minimal supervision and takes responsibility Previous experience of working in a hospital / healthcare setting and/or with attendance systems is preferable but not essential.
Knowledge Understanding Excellent understanding of GDPR and Confidentiality concept.
Confidentiality You will be aware of the confidential nature of Hospital work and in particular, the right of patients to confidentiality.
To this end you will not discuss workings of the Hospital or its patients with people outside the Hospital, save as required to do so in the course of your work.
The extent and speed of change in the delivery of health care is such that adaptability is essential in this position.
The incumbent will be required to maintain and enhance their professional knowledge, skills and aptitudes necessary to respond to a changing situation.
