Laois, with multiple manufacturing sites across the island of Ireland.The Role:The Office Administrator will provide administrative and operational support to the Ballinrobe site. This role will support the office, production and recycling areas, and assist in ensuring that production targets and operational objectives are met.Tasks and Responsibilities:While reporting to the Plant Manager and overall accountability to the Sales Director, the position will be primarily based in Ballinrobe, Co. Mayo. Some flexibility will be required to support other subsidiaries as needed. Duties will include:Administration SupportAnswer, filter, and direct incoming telephone calls to the appropriate departmentsMeet and greet visitors, ensuring they are signed in and outProvide day-to-day administrative support to the Ballinrobe siteManaging internal & external post and arranging couriers as requiredMaintain accurate production and recycling records, ensuring data is updated and communicated promptlyUse SAP to support production planning, reporting, and resource coordinationCommunicate recycled stock levels weekly via the internal communication tool (WhatsApp on Mondays)Liaise with the sales team to follow up on orders and prevent stock build-upMonitor and report on rebates, ensuring they are reviewed and reduced where possibleDaily sorting, coding, and matching of invoices for processingIssue POs and manage delivery docket returnsHandle daily filing, scanning, and maintaining paperworkReview and verify invoices to ensure accuracy before processingProduction and Recycling SupportWork closely with the recycling area to monitor resources, including personnel, materials, and outputSupport production operations to ensure targets are met efficiently and safelyCoordinate with production staff to ensure smooth workflow and effective communication between departmentsCommunication and CoordinationSupport effective communication between the production, sales, and all teamsMonitoring the sales inbox, coordinating customer orders, communicating order requirements to production teams, and scheduling deliveries with logisticsEnsure all relevant information regarding stock, production, and recycling is shared accurately and on timeAssist in identifying process improvements in both administration and production operationsAd Hoc DutiesUndertake additional administrative or operational tasks as required to support the overall running of the siteProvide backup support to other team members during busy periods, absences, or projectsParticipate in company initiatives, audits, or site improvement projects as neededCommit to continuous learning through active participation in training and developmentRequirements:Previous experience in a busy administrative support role (manufacturing preferred)Strong organisational and multitasking skills with excellent attention to detailProficient in Microsoft Office and SAP (or similar ERP system)Excellent communication and teamwork abilitiesThrives on being busyPositive and can-do attitude essentialWith a broad range of responsibilities, this role will suit someone who enjoys diversity in their work and feels motivated in a busy, hands-on environment.Job Types: Full-time, PermanentBenefits:Bike to work schemeCompany pensionOn-site parkingWork Location: In person
