Purpose of the RoleThe Dispatcher / Clerical Officer is primarily responsible for coordinating and dispatching recovery jobs to drivers using the Apex system. The role also includes reception and administrative duties to support the efficient day-to-day running of the depot. Responsibilities include customer service, processing documentation related to vehicle recovery and release, issuing invoices, and maintaining accurate depot and vehicle records.Key Duties and ResponsibilitiesDispatch / Driver CoordinationAllocate and dispatch recovery jobs to drivers using the Apex system.Communicate job details clearly and accurately to drivers.Monitor job progress, update systems in real time, and ensure timely completion.Maintain communication between drivers, management, and customers to ensure smooth operations.Reception & Customer ServiceAct as the first point of contact for all visitors, customers, and callers.Assist individuals collecting vehicles, ensuring correct identification and Garda documentation are provided when required.Respond to telephone calls, emails, and general enquiries promptly and professionally.Administrative DutiesMaintain accurate and up-to-date records of vehicles recovered, stored, and released.Perform data entry, filing, document management, and handle confidential information in accordance with GDPR and company policies.Liaise with Gardaí, insurers, partner organisations, and authorised third parties as required.Maintain a tidy, organised, and professional reception and office environment.Invoicing & Financial AdministrationPrepare and issue invoices for recovery and storage services.Receive payments (card and/or cash) and issue receipts.Update invoicing systems and monitor outstanding balances.Key Skills and RequirementsStrong communication and interpersonal skills.Proficient in computer systems (email, spreadsheets, data entry); experience with Apex or similar dispatch systems an advantage.Ability to prioritise workload and perform efficiently in a fast-paced environment.Strong attention to detail and accuracy in record-keeping and invoicing.Ability to handle sensitive information with professionalism and confidentiality.Flexible approach to working in a 4-on / 4-off pattern (9 a.m.–6 p.m.).GeneralThe duties listed above are not exhaustive and may be amended or varied to meet the needs of the business.
