On behalf of our client who are a wholesaler distributor based in Cork, we are seeking a highly organized and proactive Administrative & Executive Support Specialist to provide comprehensive administrative and high-level executive support. This new role role requires a dynamic individual who can manage day-to-day office operations while also supporting senior leadership with scheduling, communication, and project coordination. Diary & Schedule Management: Organise and maintain calendars, schedule meetings, and manage appointments. Communication: Act as first point of contact; handle calls, emails, and correspondence on behalf of the manager. Travel & Logistics: Arrange travel, accommodation, visas, and itineraries. Document Management: Draft, review, and format documents, reports, and presentations. Meeting Support: Prepare agendas, take minutes, and ensure follow-up actions are tracked. Expense & Budget Tracking: Process invoices, expenses, and assist with financial administration. Confidential Support: Handle sensitive information with discretion and professionalism. Project Assistance: Support ad-hoc projects and research as required. Office Coordination (if relevant): Liaise with internal departments, suppliers, or external stakeholders Skills & Experience Required: Strong organisational and time management skills. Excellent written and verbal communication abilities. High level of discretion, professionalism, and confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace. Experience managing complex diaries and travel arrangements. Ability to work under pressure and prioritise tasks effectively. Previous PA, EA, or senior administrative experience desirable. Flexible, adaptable, and able to work independently. Qualifications: (Degree/Diploma) preferred but not always required. Professional secretarial/administrative qualifications desirable. Personal Attributes: Proactive and resourceful. Attention to detail and accuracy. Reliable and trustworthy. Positive, can-do attitude. Strong interpersonal skills and ability to build relationships.
