Job Overview
We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide exceptional support for our facilities department.
This key role involves providing administrative assistance, maintaining electronic and paper records, scheduling services, and connecting with team members to ensure seamless day-to-day operations.
Key Responsibilities:
* Performing reception duties, welcoming colleagues, visitors, and vendors via phone, email, and in-person visits
* Maintaining accurate records, scheduling services, and coordinating tasks with team members
* Providing general facility support activities, including leading vendors related to building security issues, access system maintenance, pest control, exterior grounds, and contract cleaning
* Executing building or equipment maintenance tasks, including completing work orders, routine maintenance, preventative maintenance, and repairs
* Coordinating transportation of people and items, purchasing supplies, and managing supply inventories
* Responding to facility-related emergencies and coordinating assigned activities with outside contractors and vendors as needed
Requirements:
To be successful in this role, you will require the following skills and qualifications:
* Leaving Certificate or equivalent
* Previous experience providing knowledge, skills, and abilities to perform the job (comparable to at least 1-2 years)
* Proven track record of performing tasks efficiently and accurately
* Ability to prioritize resources to meet customer needs, work effectively with fellow employees to resolve facilities-related issues, and maintain a consistently positive attitude
* Strong oral and written communication skills, computer proficiency, and thorough understanding of office equipment
* Solid understanding of building and maintenance, such as electrical, plumbing, HVAC, and construction codes, as well as security systems
* Occasional out-of-hours on-call duties
