The Construction Administrator / Document Controller plays a key role in supporting the successful delivery of construction projects by managing project records, ensuring documentation is accurate and compliant, and providing administrative support to the broader project team. This position requires excellent organisational skills, strong attention to detail, and proficiency in digital project management platforms.
Key Accountabilities
Document Management
* Set up, maintain, and oversee document control systems for both electronic and hard copy records.
* Manage the flow of project documents, drawings, and correspondence to ensure accuracy and version control.
* Distribute documents to the appropriate stakeholders and track responses where required.
* Prepare and coordinate documentation to support project deliverables, including evidence required for payment milestones.
* Compile, manage, and deliver handover documentation, such as O&M manuals, as-built drawings, and test reports.
Project Administration
* Provide daily administrative support to Project Managers, Site Managers, and Engineers.
* Organize and minute project meetings, track actions, and issue follow-ups.
* Assist with preparing progress reports, schedules, and compliance trackers.
* Support procurement and commercial teams by processing RFIs, variation requests, purchase orders, and invoices.
* Maintain accurate records of permits, safety files, training certifications, and competency documents.
* Coordinate the onboarding and induction process for site staff and subcontractors.
Compliance, Safety & Quality
* Ensure all documents and records meet internal, client, and regulatory requirements.
* Track safety audits, inspections, and non-conformance records.
· Assist in compiling statutory compliance documentation required under Irish construction regulations.
· Additional Duties as assigned by your manager
Key Deliverables
· Document and drawing registers maintained to current revisions.
· Timely and accurate distribution of controlled documents.
· Meeting minutes, trackers, and compliance logs.
· Complete and accurate payment milestone documentation.
· Final as-built and handover documentation package.
Qualifications
* Experience in a document control or construction administration role within engineering, civils, or renewable energy projects.
* Strong knowledge of digital document management tools, ideally SharePoint and Autodesk Build (experience with Aconex, Procore, or similar is an advantage).
* Proficiency in Microsoft Office (Word, Excel, PowerPoint) with strong formatting and reporting skills.
* Excellent organisational and multitasking abilities, with high attention to detail.
* Strong written and verbal communication skills, with the ability to liaise confidently across teams.
* Familiarity with construction processes, contracts, and project documentation requirements.
