Duties and Responsibilities of the Role:
* Plan, coordinate, and supervise all aspects of building maintenance, including routine repairs, equipment servicing, and emergency maintenance to ensure facilities are in optimal condition.
* Develop and manage the facilities budget, tracking expenses, negotiating contracts, and finding cost-effective solutions for maintenance and improvements.
* Ensure compliance with health and safety regulations to include but not limited to water, waste, waste water and industry standards to maintain a safe environment for employees, visitors, and occupants.
* Oversee space utilization and allocation, ensuring efficient use of space and addressing any changes or expansions as needed.
* Collaborate with external service providers, contractors, and vendors to ensure quality services and timely completion of maintenance and repair projects.
* Implement and promote sustainability practices within the facilities, including energy conservation, waste management, and eco-friendly solutions.
* Maintain and continuously improve emergency response plans and procedures to handle crises and unexpected incidents effectively.
* Implement and manage planned preventative maintenance (PPM) schedules to ensure optimal performance, safety, and longevity of all property assets along with balancing and prioritising reactive maintenance issues
* Coordinate with security teams to ensure the safety and security of the facilities, including access control and surveillance systems.
* Overall responsibility for the performance, compliance, and upkeep of all building systems, including grounds, plant rooms, and BMS
* Be part of the team that plan and oversee facility upgrades, renovations, or remodelling projects to improve functionality, aesthetics, and efficiency.
* Monitor and comply with environmental regulations and certifications related to building operations.
* Maintain an inventory of equipment, assets, and building systems, ensuring proper functioning and timely maintenance.
* If applicable, manage lease agreements, negotiate lease terms, and handle landlord-tenant relations.
* Lead and supervise facilities team, including maintenance technicians ensuring effective teamwork and performance.
* May need to cover Duty Manager shifts when operational/business levels require.
Requirements for the role:
* A qualification in facilities management, engineering, business administration, or a related field is typically required such as a Qualified Trade Person. Relevant certifications in facilities management are advantageous.
* Several years of experience in facilities management, property management, or related roles, demonstrating proficiency in overseeing building operations and maintenance.
* In-depth knowledge of building systems, maintenance practices, health and safety regulations, and industry best practices.
* Strong leadership and management abilities to lead a team of facilities staff effectively.
* Excellent verbal and written communication skills for effective interaction with staff, vendors, and other stakeholders.
* Strong problem-solving and decision-making skills to address complex facilities management issues.
* Sound financial management skills to develop and manage budgets, analyse cost data, and identify cost-saving opportunities.
* The ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
