This firm is a dynamic, growing team of professionals. The ideal candidate is systematic and methodical in their approach, requires excellent organisational skills and remains proactive in supporting the needs at firm and team level. The candidate should have excellent communication and interpersonal skills and understand the importance of confidentiality.Key ResponsibilitiesThis candidate will be based at the Cork office reception and will provide general administration and secretarial support to the firms Partners and wider team. This will include:Manage relationships in confidence on behalf of the Partners including clients, staff and external partiesPlan and schedule meetings, conferences and events as requiredPartner diary managementScreening and dealing with phone callsOrganising and attending team meetings, circulating agendas and action itemsOrganising travel arrangementsPreparation of reports, minutes, presentations, and letters to company standardInvoicing and working with the accounts team at month endLiaising with Facilities, Marketing and IT about various issuesSupporting staff around key deadlinesManagement of departmental subscriptions and renewalsPreparing tender documents, especially public body tenders on the eTenders platformAnti-money laundering procedures and client onboarding administrationAttending debtors’ meetings and organising quarterly finance exercisesOther ad hoc duties as requiredIdeal CandidateA minimum of 2 years’ experience in a similar roleStrong interpersonal communication skillsAbility to multitask, use initiative and prioritise workloadConfident, with the ability to work within multiple management structuresPositive and trustworthy individualSolutions driven and interested in active problem solvingNatural attention to detail and accuracyProduce results and keep track of multiple deadlinesResponsive and flexible approach to work, with a “can-do” attitude to requests and tasksVery high level of proficiency in information systems and working knowledge of the following packages: Email, Internet, MS Word, Excel & PowerPointForvis Mazars is an Equal Opportunities Employer.
