The Role / LocationThe successful candidate must be proactive and capable of working on their own initiative, while providing administrative support to a large team. This role requires full daily support with secretarial and administrative duties, diary management, and organisation within the department.This role will be based at our head office, 33 Molesworth Street, Dublin, D02 CP04.Key ResponsibilitiesAnswering telephone enquiries in a professional manner and taking accurate messages.Photocopying, scanning and printing documents for the team.Binding of reports and other documents.Assist with inputting/updating property information on our PM database Salesforce.Assist with Department invoicing / POs.Attend monthly meetings – taking minutes.Typing of letters, reports, formatting pitch documents etc.Issuing of Audit / Budget packs via our system Yardi.Running mail merges from our database.Filing – keeping all files tracked and updated on a regular basis.Diary management.Dealing with email enquiries.Receiving and sorting post for department.Assisting with travel arrangements for the team when required.Assisting with any Dept events / liaising with marketing regarding client invites for all company events.Assist the team with any additional admin duties that arise on a daily basis.Arrange H&S staff training.Skills, Knowledge and ExperienceGoal orientated, flexible, extremely well organised and enjoy working within a challenging and busy work environmentExcellent IT skills in Microsoft Office, Excel and PowerPointAbility to multitask and excellent attention to detailDatabase experience an advantageExcellent organisational skills and ability to prioritise are essentialBe fluent in verbal and written EnglishPresent well in a corporate environment and have proven customer/client relationship skillsHave excellent communication and interpersonal skills with the capability of building good relations within other offices across the Savills GroupGiven the sensitive information the successful person will be privy to confidentiality and discretion is crucialSavills Ireland is an equal opportunity employer.Savills aims to attract, recruit and retain the best people from the widest possible pool of talent.
