Warmer Homes Scheme Administrator Company: A leading Insulation company Programme: SEAI Warmer Homes Scheme Reporting to: Operations / Contracts Manager Location: Dublin 12 Employment Type: Full-time Role Purpose Our client is an approved contractor under the SEAI Warmer Homes Scheme, delivering energy efficiency upgrade works to eligible homeowners. The Warmer Homes Scheme Administrator will provide comprehensive administrative and coordination support to ensure the efficient delivery of works in compliance with SEAI requirements, client procedures, and customer service standards. The role is central to the successful management of homeowner engagement, documentation control, subcontractor records, and the preparation of compliant handover and payment documentation. Key Responsibilities General Administration Establish, implement, and maintain an effective filing and records management system for all Warmer Homes Scheme projects. Manage all incoming and outgoing correspondence, both electronic and postal. Answer and manage all incoming calls to the office number, acting as the first point of contact for homeowners, subcontractors, and external stakeholders. Order, monitor, and control office stationery and supplies, including all items required for the preparation and issue of homeowner handover packs. Warmer Homes Scheme Administration Upon receipt of new batches of properties allocated by SEAI (typically averaging 60 homes per batch): Populate, maintain, and update the Batch List worksheet. Review the approved energy efficiency measures for each property and accurately record same on batch documentation. Make initial introductory contact with all homeowners in each allocated batch, representing client in a professional and customer-focused manner. Maintain accurate and detailed homeowner records and notes for each property. Manage all documentation generated via FastField, including but not limited to: Surveys Consent Forms External Wall Insulation (EWI) Snag Lists General Snag Lists Quality Assurance (QA) Documentation Ensure all documentation is correctly saved to individual property folders and that batch lists and internal tracking documents are updated accordingly. Receive photographic evidence of completed works from client subcontractors and ensure: All photographs are complete and clearly labelled. Photographic records are saved to the correct individual property folders. Administer the payment run and handover process by: Verifying that all required SEAI and client documentation is fully complete and compliant. Preparing individual homeowner handover files. Printing, compiling, and issuing completed handover packages to homeowners by post. Key Skills and Competencies Strong administrative and organisational skills with excellent attention to detail. Confident and professional telephone manner with strong communication skills. Ability to manage high volumes of documentation across multiple properties simultaneously. Proficiency in Microsoft Office (Excel, Word, Outlook). Experience using form-based digital platforms (e.g. FastField or similar) advantageous. Ability to work independently, prioritise workloads, and meet deadlines in a compliance-driven environment. Strong customer service focus, particularly when dealing with vulnerable homeowners. Experience & Qualifications Previous experience in an administrative or coordination role essential. Experience within construction, energy efficiency, public sector schemes, or grant-funded programmes (e.g. SEAI) highly desirable. Familiarity with document control and compliance processes an advantage. Additional Information Full training will be provided on client systems and SEAI requirements.
