BSA Cleaning Services

We are a contract cleaning company specialised in regular commercial cleaning services operating in Co. Dublin and Co. Wicklow. Currently in expansion and growing our clients base we are looking for an Office Administrator to efficiently run our admin tasks and support the daily company operations.

This position will eventually become full-time as soon as the business volume so requires.

Office Administrator

Job Summary:

The Office Administrator is responsible for managing day-to-day administrative operations to ensure the smooth and efficient functioning of the office. This role involves providing administrative support to staff and management, handling office communications, coordinating schedules, organising rosters and managing staff covers, maintaining records, and overseeing office and clients' supplies and equipment. The Office Administrator serves as the central point of contact for internal and external stakeholders, contributing to a well-organised and productive company workflow.

Key Responsibilities:

* Manage office operations, including correspondence, phone calls, and email communication.
* Maintain and update company records, databases, and filing systems (physical and digital).
* Coordinate schedules, appointments, and meetings, including preparation of meeting materials.
* Assist in HR-related tasks such as onboarding new employees, maintaining personnel files, and tracking attendance.
* Organise and communicate staff rosters, and manage staff covers.
* Monitor and manage office supplies to ensure availability.
* Monitor and reorder clients' supplies.
* Support financial processes such as preparing invoices, expense reports, and petty cash handling.
* Track and manage accounts receivable.
* Liaise with vendors, service providers, and other external partners.
* Ensure office facilities are well maintained and comply with health and safety regulations.
* Provide general administrative support to staff and management as needed.

Qualifications and Skills:

* Experience as an Office Administrator, Administrative Assistant, or similar role (preferred).
* Strong organisational and multitasking skills with attention to detail.
* Excellent verbal and written communication skills.
* Proficiency in MS Office (Word, Excel, Outlook), ERP systems, and other office management tools.
* Ability to work independently and collaboratively in a team environment.
* Strong problem-solving skills and a proactive approach to tasks.
* High level of discretion and professionalism when handling confidential information.

Education & Experience:

* Bachelor's degree in Business Administration, Office Management, or related field (preferred but not required).
* 2+ years of administrative or office support experience.

Job Types: Part-time, Permanent

Pay: €15.00 per hour

Expected hours: 20 per week

Work Location: In person
