Location: Loughrea Position: Grade III Clerical Officer Hours: Full time, Mon-Thur 9-5.30, Fri 9-5 Salary: €32,492 Contract: temporary 6 week initial contract End of January start date Key Responsibilities: Coordinate service referrals, staff availability, and scheduling to ensure effective service coverage.
Communicate rota or service changes clearly with staff, families, and external stakeholders as appropriate.
Monitor service delivery records, highlighting any issues and ensuring compliance with internal procedures.
Process timesheets, invoices, and related documentation accurately, working closely with the Finance team.
Provide administrative and reception support, including handling calls, correspondence, record-keeping, and general office duties.
Maintain accurate staff and client files in line with organisational policies and procedures.
Liaise with external agencies and partners to support service delivery and maintain effective working relationships.
Support recruitment, interviews, and induction of new staff.
Skills and Qualifications: Proven experience in a busy administrative or clerical role.
Proficiency in using office software (MS Office, email, etc.).
Excellent organisational and multitasking abilities.
Strong communication and interpersonal skills.
Attention to detail and accuracy in data entry.
Ability to handle sensitive information with confidentiality.
Ability to work well under pressure.
Knowledge of hospital or clinical operations is an advantage.
